ABOUT THE DEPARTMENT: The Publications and Editorial Department is responsible for shaping, editing, designing, producing, marketing, and helping to distribute the Museum's publications, as well as editing and typesetting wall texts and object labels. It publishes between 25 and 30 new titles each year to inspire greater engagement with the Museum's collections and exhibitions. GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES: The Administrative Coordinator reports directly to the Associate Publisher for Production. The role is essential to the successful operation of the department. The Administrative Coordinator supports the Administrator's work with the Finance, Retail, and Buildings departments to provide accurate and timely financial reporting, to make timely payment of approximately 1,000 invoices per year, to process and track hundreds of freelance and supplier contracts, to maintain the physical office workspace, and to oversee numerous other processes that allow the department to function in a professional and effective manner. The Administrative Coordinator will also provide administrative support to the Publisher, Associate Publisher for Editorial, Associate Publishers for Production and additional senior staff. PRIMARY RESPONSIBILITIES & DUTIES: - Collaborate with the Administrator to provide real-time expense information to the Associate Publisher for Production and the Associate Publisher for Editorial, aiding in project budget reforecasts.
- Support department leads in compiling data for the DEPILL budget manager.
- Maintain detailed publication sales history.
- Process invoices efficiently, ensuring accuracy and timely completion on an as needed basis.
- Assist in handling freelance, contributor, and permissions contracts.
- Utilize Adobe Acrobat Sign to send out contracts, tax forms, and banking forms with clear instructions.
- Maintain a comprehensive log of contracts sent and received.
- Correspond with contractors and licensees, addressing inquiries and sending reminders.
- Aid the Administrator in preparing invoices for permissions and foreign book deals.
- Maintain a detailed log of sent invoices and received payments.
- Manage a schedule for timely invoicing.
- Collaborate with the Rights Manager in maintaining logs of contract terms and payments for permissions and licenses.
- Support the Administrator's role as the liaison for maintenance and infrastructure matters, ensuring a well-maintained and functional workspace.
- Maintain accurate records for all administrative processes.
- Other duties as assigned
REQUIREMENTS & QUALIFICATIONS: - B.A. degree required, background in accounting and interest in humanities preferred.
- 2 year prior Administrative/ Coordinator experience required
- Knowledge of budget development, budget reporting, and profit and loss reporting in a publishing organization
- Excellent organizational skills and attention to details
- Excellent writing and communication skills
- Advanced skills in Excel
- Intermediate skills in Adobe Acrobat Pro and Adobe Acrobat Sign
COMPENSATION RANGE: - Pay Range : $33.00 - $34.00 / Hourly

Location Requirements At time of employment, employees are expected to be located within commuting distance of the Museum. Commuting distance means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the Tri-state and PA areas), and be able to commute to and from the Museum in a single day.
