Qualifications: Associates degree preferred or two years of related experience. Two years of management experience preferred. Strong skills in written, verbal, and interpersonal communication. Excellent organizational skills, with the ability to prioritize and manage multiple time-sensitive projects. Detail-oriented and customer-focused. Proficient in Microsoft Office Suite and a variety of technological platforms. Valid New York State driver's license required.

Physical Requirements: This position works in a typical office setting but may be exposed to extreme temperatures in a warehouse setting. There may be extended periods of sitting, standing and/or bending; listening, talking and/or visual concentration; writing and/or computer use. This position would normally have routine opportunities to alter physical position or change eye focus. Lifting should not normally exceed 30 pounds.

Position Summary: The Agency Services Manager will lead technological efforts within Agency Services, oversee the administration of NYS grants for partner agencies, and manage the preparation of required reports for oversight entities. This role is integral to enhancing departmental efficiency, fostering collaborative relationships across departments, and strengthening partnerships with agency partners. The position requires an organized, detail-oriented individual who can manage multiple projects, develop and maintain SOPs, and guide the team in utilizing diverse technological platforms.

Duties & Responsibilities:

1. Team Leadership and Management:

• Establish performance expectations and create schedules for team check-ins.
• Monitor team performance, hold regular supervisory meetings, and conduct performance evaluations.
• Foster a collaborative, service-oriented team environment aligned with the mission of the Food Bank.
• Develop, update, and maintain SOPs and training materials for the Agency Services team.

1. Technological Leadership:

• In conjunction with the Technology Team, evaluate, select, and implement technology solutions to improve departmental efficiency.
• Maintain fluency in various platforms (e.g., P2, Camtasia, Zoom, FastField, Foundant) and train the team on effective usage.
• Update and manage online training resources, including the agency ordering and PWW2 training videos.

1. Grants Management and Compliance:

• Coordinate all aspects of NYS state grant applications, including review processes, allocations, and documentation.
• Update applications, manage grant allocations, and communicate award notifications and requirements to recipients.
• Facilitate review board meetings, gather required statistics, and submit timely reports to HPNAP and other oversight bodies.
• Track and maintain documentation related to agency deliveries, warehouse infractions, and monitoring activities.
• Ensure consistent communication with grant recipients, including allocation documentation, budget sheets, and timely mailings.
• Serve as the primary liaison for custodial grants and lead grant management activities.
• Responsible for periodic reports to various oversight agencies.

1. Agency and Community Support:

• Provide support to agencies and community members
• Respond to general inquiries and maintain documentation of agency interactions, deliveries, and infractions.
• Organize and distribute annual resources, such as milk cards, to award recipients.
