Remote Scheduling Specialist
Careerscape is recruiting on behalf of our client, a growing healthcare services organization, for a Remote Scheduling Specialist to keep patient and provider calendars running smoothly. In this role you will be the first point of contact for scheduling needs, coordinating appointments, managing cancellations and rescheduling requests, and making sure every patient gets timely access to care. This is a great opportunity for a detail-oriented multitasker who enjoys solving logistical puzzles and delivering great service from a home office.
Day to day, you will spend most of your time on the phone and in a scheduling system, juggling multiple calendars while staying calm and friendly with patients who may be anxious or frustrated. You will collaborate closely with clinical and administrative staff to fill gaps, reduce no-shows, and keep operations efficient. People who thrive in this role are organized, communicative, patient, and comfortable moving quickly between tasks without losing accuracy.
Responsibilities
- Schedule, confirm, and reschedule patient appointments across multiple providers and locations
- Answer inbound calls and respond to messages regarding scheduling needs
- Maintain accurate records in the scheduling and electronic health record systems
- Coordinate with clinical staff to optimize provider calendars and reduce gaps
- Follow up on cancellations and no-shows to fill open appointment slots
- Verify patient information and update records as needed
- Communicate appointment details, preparation instructions, and reminders to patients
- Resolve scheduling conflicts and escalate complex issues appropriately
- Process referrals and coordinate scheduling with outside providers when required
- Track scheduling metrics and report recurring issues to management
Requirements
- High school diploma or equivalent required, associate degree preferred
- At least two years of scheduling, administrative, or customer service experience
- Experience with electronic health record or scheduling software preferred
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to manage a high volume of calls and tasks in a fast-paced environment
- Comfortable working independently in a remote setting with minimal supervision
- Proficiency with Microsoft Office and general computer applications
- Reliable high-speed internet and a quiet home workspace
