Position: Confidential Secretary to the Commissioner

The City of Albany's Department of Administrative Services is seeking a highly-
motivated and organized Executive Assistant. The Department of Administrative
Services oversees the day-to-day management of City government. Our
Department is comprised of the Offices of Budget, Human Resources, Innovation,
Information Technology, Purchasing, MWBE & EEO Compliance, Payroll, Public
Records, Sustainability, and Cultural Affairs. We operate in a fast-paced, dynamic
environment that has broad and lasting positive impact on the City. The successful
candidate must be well organized, detail-oriented, personable, and be able to take
direction as well as act independently. This position is supervised by and reports to
the Commissioner of Administrative Services, but works with everyone on the
team. The Executive Assistant regularly, frequently, and independently interfaces
with high-level internal and external contacts requiring considerable discretion,
initiative and confidentiality. Core responsibilities of the position include
executive-level administrative support, office management, and project support.
Preferred Qualifications and Skills:
The preferred candidate will have an associate or bachelor's degree and at least
two years of comparable experience in a similar environment and role. The
successful candidate must be well-organized, personable, results-driven and
consistently detail-oriented. Excellent people skills, verbal and written
communication skills are critical. The dynamic and fast-paced nature of the
Department requires excellent critical thinking skills. Flexibility and ability to
prioritize and execute multiple tasks simultaneously and efficiently is essential.
The successful candidate must be able to work as part of a team, take and execute
directions, and display initiative and anticipate needs while working
independently. Microsoft Office proficiency is preferred as these programs will be
used daily in the role.

CONFIDENTIAL SECRETARY TO THE COMMISSIONER
DISTINGUISHING FEATURES OF THE CLASS : Positions in this class are
pursuant to Civil Service Law Section 41(a) “one secretary of each state department or
division, temporary state commission or other state officer authorized by law to appoint a
secretary.” The incumbent works closely with the Commissioner on confidential matters.
This position requires independent judgment, integrity and discretion in carrying out
secretarial, administrative and clerical responsibilities and in dealing with employees and
the public. The work generally involves all aspects of preparation of moderately difficult
correspondence, documents and forms and requires a general understanding of office
policies and procedures. The work is performed under the direct supervision of the
Commissioner. Supervision of others is not typical of this class.
TYPICAL WORK ACTIVITIES : (Illustrative Only)
Acts as secretary to a Commissioner which calls for the use of judgment and
experience in making decisions in accordance with established policies and
procedures;
Performs all secretarial, administrative and clerical duties as assigned by the
Commissioner;
Composes and types routine correspondence, applying a knowledge of departmental
operations and regulations;
Prepares reports, documents and forms using computer software systems, such as
Microsoft Office, etc.;
May read incoming mail and answer general correspondence;
May provide general information to the public by phone or in person;
Enters and retrieves information in an automated information system;
Performs related work as required.
