Entry-Level Construction Inspection Assistant and Office Support Specialist.
We are seeking a motivated, entry-level professional to support both field and office operations at a leading NYC-based construction inspection firm. This hybrid role offers hands-on exposure to field inspections while building core office and project management skills, with potential for growth.
Responsibilities:
Field Inspection Assistance:
- Support certified inspectors during on-site inspections (Steel, Concrete, Soil, Asbestos, Sprinkler, Mechanical, etc.).
- Assist with documenting findings, tracking non-compliance issues, and coordinating resolutions.
- Pick up or drop off equipment and material samples, sometimes using the company van.
Pre-Inspection and Office Support:
- Prepare pre-inspection checklists to ensure field teams are equipped, informed, and prepared.
- Use Department of Buildings (DOB) systems to research and report permit status.
- Follow up with clients to verify project status and help secure final signoffs or schedule site visits.
- Assist with general office facility tasks to help maintain a well-organized, stocked, and clean work environment.
Proposal and Estimating Support:
- Help create and manage proposals in Salesforce, including:
- Communicating with clients who request proposals.
- Collaborating with the estimating team to receive and format pricing.
- Sending estimates to clients and following up as needed.
- Track and follow up on outstanding proposals and change orders to ensure timely client response.
Reporting and Systems Work:
- Work in Salesforce to support reporting and data preparation.
- Assist with internal tracking tools and collaborate with the IT team on basic system troubleshooting or feedback.
Client Relations and Communication:
- Communicate with clients professionally via email and phone to coordinate project steps, address questions, or confirm logistics.
- Support strong client relationships through timely updates and follow-through.
Professional Development:
- Participate in training programs to build skills in inspections, construction documentation, and client services.
- Work toward certifications such as ICC, ACI, AWS, or NICET, supported by experienced team members.
Qualifications:
- Bachelor's degree or relevant coursework preferred, but not required. Open to candidates with interest in the field.
- ACI Concrete Field Technician Certification is a plus, not required.
- Interest in construction inspection and a willingness to learn.
- Effective communication and organizational skills.
- Proficiency in Microsoft Office required. Familiarity with tools like Salesforce, PlanGrid, or Autodesk Build is a plus, but not required.
- Ability to manage multiple priorities and adapt to a fast-paced environment.
- Valid driver’s license with a clean driving record.
