Assistant Director of High School Placement

The Assistant Director of High School Placement/Administrative Assistant is a dual role supporting the Director of High School Placement (DHSP) and the Executive Director (ED) of the TEAK Fellowship. In their work with the DHSP, the Assistant Director will assist in shepherding the growing eighth grade cohort of Fellows and their families through the high school admissions and financial aid application process. This position is responsible for managing the day-to-day administrative and programmatic components of the high school placement process including document collection, database management, program scheduling, and providing holistic support to TEAK Fellows and their families. In this capacity, the role will also provide administrative support to the ED as needed.

Key Responsibilities


Programmatic Support

  • Support the Director of HS Placement (DHSP) in implementing TEAK’s 15-month high school placement curriculum
  • Collect and organize student information needed for applications, interviews, recommendation letters, and financial aid forms across using multiple platforms that includes Ravenna, Clarity, Student Application Online (SAO), and Google Sheets.
  • Use TEAK’s Salesforce CRM (Customer Relationship Management), to maintain accurate and current student application and placement records.
  • Support the DHSP in managing communications to Fellows and families regarding placement timelines, key events, and required documentation.
  • Assist and support DHSP with collection and organization of data for regular reports and data analysis on the HS Placement program
  • Assist the DHSP with counseling Fellows and their families during the application process.
  • Serve as a teaching assistant for Middle School Academy and Summer Institute High School Placement and Test Prep classes for Fellows (e.g. attendance, grading, preparing materials, etc.) and provide support in conducting presentations for parents.
  • Work with TEAK staff, Fellows, parents, guidance counselors, TEAK instructors, and school partners to ensure successful delivery of program services.
  • Assist in organizing and administering entrance exams (ISEE, SSAT), including managing logistics, materials, and proctors, and serving as a test proctor or administrator as needed.

Outreach & Partner School Engagement

  • Support the DHSP in managing communications to partner schools and organizations receiving applications from TEAK Fellows.
  • Support planning and execution of visits from partner schools and admissions representatives to the TEAK office.
  • Support planning and execution of visits to schools by Fellows, parents, and DHSP.
  • Serve as chaperone for outbound visits as needed.

Summer Institute

  • Provide instructional and logistical support during TEAK Summer Institute and associated trips. (TEAK Summer Institute is a six-week summer academic program for TEAK’s rising seventh, eighth, and ninth graders meant to mirror the rigorous and diverse educational environment students will see in high school.)

Executive Director & Board Support

  • Provide administrative support to the Executive Director (e.g., scheduling, travel, communications, special projects) on an as needed basis.
  • Assist Board committee chairs with scheduling and prepare materials for quarterly meetings.

General

  • Participate in staff meetings, events, and committees.
  • Take on special projects and additional responsibilities as needed in support of program goals.

Qualifications

  • Bachelor’s degree required
  • Experience in education, youth development, or school placement programs
  • Commitment to the TEAK Fellowship’s mission and comfort working in a collaborative environment with a commitment to equity and inclusion
  • Ability to respect, protect, and maintain confidentiality of student, parent, and program information
  • Strong project management, organizational, and administrative skills
  • Excellent written and verbal communication, including attention to detail and clarity
  • Proficiency with Salesforce or other CRM/databases, Microsoft Office, and Google Office Suite, especially spreadsheets
  • Strong interpersonal skills to work with a broad range of constituents, including parents/guardians and students, and many families who speak English as a second language
  • Availability to work a Monday through Friday schedule with some evening and weekend commitments
  • Ability to travel throughout the five boroughs and occasionally out of state
  • Fluency in Mandarin, Bengali, Spanish or other languages a plus
  • Demonstrated ability to work with middle school-aged students and their families, especially in under-resourced communities a plus
  • Familiarity with the selective high school admissions landscape, including day, boarding, and NYC specialized high schools a plus

Start date : September 8

Compensation and Benefits

Starting salary in the range of $55-65K commensurate with experience, skill set, and education. In addition to two remote days each work week, TEAK offers generous health and retirement benefits, paid time off, and professional development opportunities.
