Administrative Assistant

Primary Responsibility:

The Administrative Assistant serves as the first point of contact for Clarence Global Methodist Church and provides administrative, communication, and recordkeeping support to the Senior Pastor, staff, and congregation.

What success looks like: a welcoming and responsive front office, clear and timely communications, and accurate church records.

Supervision and Evaluation: Reports to the Sr. Pastor and to the Staff Parish Relations Team.

General Responsibilities and Tasks:

Front Office & Communications

  • Answer phones, monitor the office inbox, and route inquiries to appropriate staff and church leaders.
  • Assist Sr. Pastor with scheduling and provide administrative support as requested.
  • Sort and distribute mail; maintain orderly office records and files.
  • Maintain the master office and church calendars; post updates to the church website as needed.
  • Assemble and print weekly newsletter/bulletin. Distribute an email copy to congregation via email with church updates.
  • Print funeral bulletins as needed.
  • Input and proofread lyrics, hymns, sermon text, and special worship elements (baptisms, communion, Ash Wednesday, Holy Week, funerals, weddings).

Records & Data Management

  • Maintain membership records, including new members, baptisms, confirmations, marriages, and deaths.
  • Maintain milestone and birthday records; prepare the monthly birthday list for the weekly bulletin/newsletter.

Meetings & Documentation

  • Attend staff meetings and Church Council meetings, take minutes, and distribute finalized minutes to leaders in a timely manner.
  • Assist with annual completion of annual conference paperwork and reports.

Purchasing & Administrative Support

  • Order giving envelopes and office supplies as needed; code/assign expenses to the appropriate team budget.
  • File Trustee paperwork as directed by Trustees in designated folders.

HR/Payroll Liaison

  • Notify the payroll company of employee information changes throughout the year, as directed by the Sr. Pastor/SPR Team.
  • Assist with payroll processing and documentation as needed.

Qualifications:

  • Ability to support a Christian faith community and the policies of Clarence Global Methodist Church.
  • Three (3) years of experience in an office/administrative environment (or equivalent combination of education and experience).
  • Excellent interpersonal, professional presentation, and communication skills.
  • Sound judgment, service orientation, and ability to interact with a diverse group of people (internal and external).
  • Discretion and confidentiality in all matters.
  • Strong organizational skills; ability to manage multiple priorities and projects.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort learning new technologies (including spreadsheets/databases).
  • Attention to detail and commitment to accuracy.
  • Ability to work independently under general direction.
  • Experience with Church Windows and ProPresenter.
