Human Resources Administrator

Responsibilities
- Provide comprehensive administrative support to the Human Resources department, including data entry, document preparation, scanning, copying, and correspondence.
- Manage and maintain the HR department’s shared email inbox, ensuring timely review and appropriate routing of inquiries.
- Answer incoming phone calls and direct employees, applicants, clients, and visitors to the appropriate resources and departments.
- Schedule appointments, meetings, interviews, and other calendar requests for HR staff.
- Greet and assist visitors, employees, and applicants in a professional and courteous manner.
- Prepare correspondence, reports, spreadsheets, forms, presentations, and other administrative documents as requested.
- Scan, upload, and convert paper documents into electronic records to support document management and accessibility.
- Assist with the preparation, distribution, collection, and tracking of employment-related forms and documents.
- Monitor and maintain HR departmental supplies and submit purchasing requests as needed.
- Process administrative and fiscal requests, including supply orders, travel documentation, and reimbursements.
- Sort, distribute, and process incoming and outgoing mail and deliveries for the HR department.
- Maintain department calendars, contact lists, tracking logs, and other administrative records.
- Support HR staff with routine reporting, data collection, and administrative requests.
- Assist with meeting preparation, including scheduling, room setup, materials preparation, and note-taking as needed.
- Coordinate training and conference registrations and maintain related documentation.
- Perform general clerical duties, including photocopying, scanning, faxing, and data entry.
- Support special projects and departmental initiatives as assigned.
- Handle confidential employee, applicant, and organizational information with discretion and professionalism.
- Perform other duties as assigned.
Qualifications
- High school diploma or GED equivalent required; HR certifications are a plus.
- 1-3 years of administrative experience, preferably in a Human Resources or office environment.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Publisher, Outlook).
- Strong attention to detail, organizational, and problem-solving skills.
- Excellent communication, interpersonal, and collaborative abilities.
- Commitment to maintaining confidentiality and handling sensitive information appropriately.
- Ability to work independently and as part of a team.
- Valid New York State driver’s license and ability to travel between agency locations as needed.
- Ability to stand, walk, bend, stoop, and climb stairs as required by the role.
- Consistent punctuality and reliable attendance at the job site.
