The Assistant Registrar plays a key role in the day-to-day functioning of academic operations at The Stony Brook School, while serving as the Primary Registrar for Gravitas, the School's online academic extension. This is a 12 month, full-time, in-person position based on campus, and involves regular handling of confidential academic information. The position requires a high degree of professional integrity, attention to detail, initiative, and excellent communication skills.
Key Responsibilities
Gravitas - Primary Registrar
- Schedule all Gravitas students in courses each term
- Manage grading systems and maintain academic records
- Process transcripts, enrollment verifications, and other academic documents
- Oversee grade calculations, honor roll publishing, and academic achievement tracking
- Maintain record retention and handle student withdrawals
Campus Registrar Support
- Assist with student course scheduling and changes in Blackbaud or SIS
- Oversee mini-course class requests and registration process
- Prepare and send transcripts; maintain transcript and enrollment logs
- Process academic verifications and documentation requests
- Ensure academic files are organized per FERPA compliance
- Support campus registration and orientation events
- Assist with diploma preparation and year-end academic ceremonies
Required Skills & Qualifications
- Strong organizational and time-management skills
- Exceptional verbal and written communication abilities
- Discretion and professionalism in handling sensitive information
- Ability to manage multiple priorities efficiently
- Proficiency with technology, especially Google Workspace, Blackbaud , SCOIR , Avid, and related academic systems, with a willingness to learn and effectively use AI systems such as ChatGPT and Claude
- Provide administrative support to the Academic Dean with Academic Office operations.
- Exhibit initiative and anticipate challenges and news proactively.
- Work collaboratively and supportively as a member of the Academic Office team
Salary and Benefits

Salary Range: $21.50 to $24 per hour; commensurate to experience
