Procurement and Warehouse Manager
WORK WEEK: Primarily Monday through Friday; occasional Saturdays or special events as needed
COMPENSATION: $23.50 to $29.00/hour (based on experience)

Greater Rochester Habitat for Humanity (GRHFH) is seeking a highly independent, results-driven Procurement and Warehouse Manager to oversee our construction warehouse, procure materials, coordinate deliveries to build sites, and manage subcontractor logistics. GRHFH works to address housing challenges holistically—engaging community members, improving neighborhood conditions, and providing critical home repairs. JOB DESCRIPTION:
The Procurement and Warehouse Manager plays a key role in supporting field operations by managing the procurement, scheduling, and coordination of construction materials and subcontractor resources. This role requires strong organizational skills, sound judgment, and the ability to work collaboratively across departments. The ideal candidate serves as an ambassador for Habitat for Humanity, demonstrating integrity, respect, teamwork, and a commitment to continuous improvement. Adherence to GRHFH purchasing policies and procedures is essential. PRIMARY RESPONSIBILITIES: Procurement & Inventory Control
- Build and maintain strong relationships with key suppliers to improve pricing, ensure availability, and reduce overall procurement costs.
- Lead supplier contract negotiation, execution, and ongoing management to secure favorable terms and ensure compliance with GRHFH standards.
- Facilitate and oversee vendor agreements, including scope reviews, pricing assessments, and service level expectations.
- Coordinate the procurement and on-time delivery of construction materials to all job sites in alignment with project schedules.
- Design and maintain an efficient warehouse layout and a robust materials tracking system.
- Improve the GRHFH materials control system to ensure real-time, accurate inventory data.
- Apply Just-in-Time inventory methods to maintain optimal stock levels and reduce excess or obsolete materials.
- Track material usage and inventory movement across job sites to support accountability and cost control.
- Oversee the full supply chain cycle, including sourcing, transportation, and delivery logistics.
- Proactively identify and address supply or material delivery challenges that may impact construction progress.
- Support construction scheduling with timely updates on materials availability and procurement status.
- Conduct routine cost analysis to support budget planning and financial oversight.
- Ensure accurate completion and timely submission of all procurement documentation and reports.
- Oversee receiving, stocking, and distribution of materials; maintain accurate inventory records.
- Ensure a clean, organized, and hazard-free warehouse that meets or exceeds OSHA compliance standards.
- Implement and maintain security measures to safeguard tools, materials, and equipment.
- Train and supervise volunteer teams in warehouse operations and materials distribution procedures.
- Collaborate with construction teams to support project scope, schedule, and budget goals through effective materials and subcontractor planning.
- Serve as the primary liaison between warehouse, procurement, and field teams to ensure project alignment.
- Identify and document operational issues or improvement opportunities and communicate them to the Construction Director.
- Actively resolve logistical and supply challenges to minimize delays and keep projects on track.
- Research and evaluate new building materials, tools, and industry best practices to support innovation and efficiency.
- Assist in special projects and organizational events, including volunteer build days, fundraising events, and community outreach initiatives.
- Build and maintain positive relationships with vendors, volunteers, donors, and homeowners to support GRHFH’s mission and values.
- Share knowledge and promote continuous improvement across construction and warehouse operations.
- Collaborate effectively with construction personnel and staff to support project success.
- Perform other duties as assigned in alignment with organizational priorities.

- High school diploma or equivalent required; Associate’s degree or higher preferred.
- Minimum of 2 years of experience in the construction industry, or a combination of relevant education and experience.
- Experience in supplier relationship management, purchasing, and contract negotiation.
- Familiarity with construction materials, methods, and safety protocols strongly preferred.
- Excellent communication skills with the ability to adapt messaging for diverse audiences, including volunteers, donors, subcontractors, and staff.
- Strong organizational skills, with the ability to anticipate needs and manage multiple priorities.
- Proficient in Microsoft Outlook, Word, and Excel.
- Ability to safely operate residential construction tools and light vehicles (e.g., pickup truck).
- Valid New York State driver’s license and clean driving record required.
- Current CPR/First Aid certification preferred.
- Current forklift certification preferred.
- Experience with Habitat for Humanity or a nonprofit construction environment is a plus.
- Prolonged periods working at a desk and on a computer.
- Ability to regularly lift and move materials up to 50 pounds individually, across various surfaces; occasionally lifting heavier items with appropriate equipment or assistance
- Must be able to communicate effectively in English, both verbally and in writing, and work collaboratively in a team setting.
- Work will take place in a warehouse environment and at active construction sites, in varying weather conditions.
