The Distribution Coordinator supports a growing Power Distribution Engineering team by managing project tracking, coordination, and permitting activities in an in-office role based in Liverpool, NY. This position provides administrative and coordination support to managers, supervisors, and staff to help ensure project objectives are met and customer expectations are consistently achieved. The role offers an excellent opportunity to gain skills and experience in the utility industry, with training available in power distribution design work as workload allows.
Responsibilities

Assist in the permitting program within Asset Design by creating permits for pole replacement and major projects.

Support managers, supervisors, and staff with general day-to-day operations as needed to keep projects moving forward.

Assist in the preparation of documents and materials such as proposals, presentations, and project deliverables, including word processing, graphics, layout, editing, and final production.

Perform data entry and maintain project tracking tools, schedules, and documentation to support effective project coordination.

Provide administrative support including scheduling meetings, organizing files, and coordinating logistical preparation for storm restoration response.

Assist with coordination activities related to power distribution and distribution design as training and workload permit.

Collaborate with internal teams and clients through clear, professional communication on a daily basis.

Promote office and project safety by demonstrating safety as a priority and adhering to company and client safety policies.

Support continuous improvement of processes and tools used for project tracking, scheduling, and document control.

Perform other duties as assigned to support the Power Distribution Engineering team.
Essential Skills

Strong organizational skills with the ability to track and manage day-to-day activities.

Proficiency with computers and productivity tools, including spreadsheets and Microsoft Excel.

Ability to use email and calendar tools such as Microsoft Outlook for communication and scheduling.

Strong verbal and written communication skills, with the ability to communicate effectively with internal teams and clients on a daily basis.

Attention to detail and accuracy in data entry, document preparation, and project tracking.

High school diploma or equivalent.

Additional Skills & Qualifications

Associate or bachelor's degree is acceptable but not required.

Prior experience with project tracking, scheduling, and document control is preferred.

Proficiency in Microsoft Office applications, particularly Excel, is strongly preferred.

Experience with Smartsheet is a plus.

Experience with GIS (Geographic Information System) software is a plus.

Exposure to or understanding of the National Electrical Safety Code (NESC) is a plus but not required.

Experience in the utility industry, power distribution, or distribution design is beneficial.

Ability to adapt and learn new tools, processes, and technical concepts related to power distribution.

Willingness to be trained in power distribution design work when administrative duties are light.

Strong work ethic, reliability, and accountability in completing assigned tasks.

Work Environment
This is a fully in-office position based in Liverpool, NY, within a collaborative Power Distribution Engineering office environment. The distribution team consists of approximately 15 people, with an additional small environmental team sharing the space. The distribution group operates as a close-knit team with strong relationships and a culture that balances hard work with a supportive, friendly atmosphere. Team members hold themselves highly accountable, enjoy working together, and are willing to help train and answer questions for new colleagues. The work environment is fast-paced and aligned with a construction setting, where tight deadlines and changing priorities are common. Typical tools and technologies include Microsoft Office (with a strong emphasis on Excel), email and calendar applications such as Outlook, and project tracking tools; exposure to Smartsheet, GIS software, and power distribution design tools may be part of the role as training progresses. The position offers hands-on experience in the utility industry and opportunities to learn power distribution design when administrative workload allows, supporting long-term career growth in power distribution and utilities.

This is a Contract to Hire position based out of Liverpool, NY.
Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr.
