Housing Works fights for funding and legislation to ensure that all people living with HIV/AIDS have access to quality housing, healthcare, HIV prevention, and treatment, among other lifesaving services.
Benefits:
We have three comprehensive healthcare plans to choose from based on your priorities and budget. Housing Works covers most of the plan; you pay a portion, based on your salary. Staff begins accruing PTO immediately for a total of up to 30 days earned in the first year. We offer employees an educational benefit. Compensation Range: $20/hr - $22/hr commensurate with experience
Minimum RequirementsSummary Description:
The Administrative Assistant candidate should be a tech-savvy, highly organized, and flexible individual. They will play an integral role in supporting the operational functions of People Operations - specifically focused on staff development, training, compliance, and recruitment. They will be responsible for entering new hire information into our personnel database, uploading information to recruitment sites, tracking and creating reports for key training data, organizing compliance documentation, managing logistics for meetings and conference calls, and more. This role is key to supporting functionality for the People Ops department.
This role is full time.
Job Functions:
- Review, update, and maintain HR documentation such as Standard Operating Procedures and workflows to ensure complete, accurate and up-to-date processes.
- Assist in various HR projects and continuous improvement initiatives.
- Provide ideas, solutions, and tools to increase the effectiveness and efficiency of HR service processing.
- Prepare new hire packets and collect employment documentation for the on-boarding process.
- Assist in other office administration as assigned.
- Collect, file, and track key attestation forms and documentation to support accurate reporting for compliance trainings
- Monitor mandatory training completion and report updates to the team
- Upload new hire documentation into personnel software with precision
- Assist with uploading available jobs to recruitment sites
- File required documentation (both new hire documentation and compliance/training documentation)
- Create shared tracking documents and maintain accurate updates
- Manage meetings, conference calls, and collect minutes as needed
- Creating employee identification cards
- Prepare materials and provide logistical support for training
Job Requirements:
Competency with Outlook Office Suite, Microsoft Office, and G-Suite. Must have data entry experience. It is preferred for the candidate to have experience working with Salesforce, Kronos, or any e-learning platform. Must be highly organized, precise, and focused. Must be flexible and able to adapt to shifting priorities. Must be able to commit to 20 hours per week at a minimum.
Qualifications (including Education and/or Experience):
- Must be a High School graduate; college degree preferred.
- Must have two (2) years' experience working as a Human Resources
Assistant and Payroll Clerk;
- Must be able to multi-task;
- Must have adequate knowledge of Microsoft Office;
- Must possess good written and verbal communication skills;
- Must be able to read, write and understand English;
- Must be able to perform related duties/tasks with a minimum of supervision or direction;
- Must have a basic knowledge of State and Federal regulations and guidelines governing Human Resources and Payroll.
