DATA AND ADMINISTRATIVE SPECIALIST
Atlas works to prevent violence by meeting people during a crisis, like a recent arrest or open court case, and connecting them to a change process that nurtures hope and strengthens relationships. In collaboration with Atlas, we offer FFT to young people at elevated risk for violence in the community, victimization, or re-arrest. FFT is an evidence-based intervention for youth and families. This high-quality, strength-focused family counseling model is designed for high-risk youth and young adults who have been referred by the criminal court, juvenile justice, mental health, school, or child welfare systems. Services are short-term and typically delivered in the home, though they can also be provided in the office or other community settings.
We are seeking to hire a Data and Administrative Specialist. The Data and Administrative Specialist, reporting to the Atlas Program Director, will be primarily responsible for facilitating the program referral process, including reviewing all available information about each potentially eligible participant to determine their suitability for programming. Specific responsibilities include conducting screenings with participants, ensuring referrals meet participation criteria, facilitating participant releases, handling other processes, and troubleshooting any issues that arise. In addition, the Data and Administrative Specialist must establish close connections with other departments, criminal justice agencies, and community organizations.
ROLES AND RESPONSIBILITIES
Complete the intake process by retrieving referrals from the Atlas Engagement Database, ensuring referrals meet Atlas criteria and eligibility for participation, and communicating with referral partners to troubleshoot any issues that arise.
Assign referred families to the appropriate therapist promptly.
Communicate with court and community stakeholders about eligible individuals’ suitability for FFT programming.
Assist with scheduling and rescheduling participants for FFT services.
Execute crisis intervention protocols to ensure participant safety and connection to appropriate services, under advisement of the FFT Supervisor and Program Director.
Assist the therapists in providing written and verbal case updates to the court and other court staff as needed.
Assist with data collection, input, and management.
Monitor appropriate participant information in the FFT CSS database.
Assist with all FFT reporting requirements and requests.
Attend required staff meetings and trainings.
Attend community-based events after hours, as needed; and
Assisting with other administrative tasks, as necessary.
CORE COMPETENCIES
Technical Skills
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to clean, validate, and enter data with a high level of accuracy and attention to detail.
Familiarity with data dashboards and visualization tools (e.g., Power BI, Tableau, Excel dashboards) is an advantage.
Experience generating routine reports, summaries, and data exports for internal and external stakeholders.
Comfortable learning and navigating multiple data systems simultaneously
Administrative Skills
Ability to manage calendars, schedule meetings, organize files, and maintain digital folders with consistent naming conventions.
Skilled in drafting emails, documenting meeting notes, and preparing materials for presentations or reporting.
Strong organizational systems that support deadlines, workflow management, and routine follow-up.
Ability to handle sensitive or confidential information with discretion.
Communication & Interpersonal
Clear, professional verbal and written communication skills.
Ability to collaborate with internal teams, external partners, and leadership to support reporting and administrative functions.
Comfort interacting with staff at all levels and responding to data-related inquiries with patience and clarity.
EDUCATIONAL / TRAINING REQUIRED
Bachelor’s degree in Public Administration, Business, Social Sciences, Data Analytics, or related field preferred; equivalent experience accepted.
2–4 years of experience in administrative support, data entry, program coordination, or similar operational roles.
Experience working with databases, CRM systems (e.g., Salesforce), or case management systems is strongly preferred.
Prior work in nonprofit, government, or social services settings is a plus.
SALARY : $60,000 - 65,000
