Administrative Assistant Bilingual Spanish
Overview
We are seeking a highly organized and professional Bilingual Administrative Assistant to join our dynamic team. This role is essential in providing comprehensive administrative support while ensuring effective communication with Spanish-speaking clients and team members. The ideal candidate will possess excellent office management skills, proficiency in various computer applications, and a strong ability to handle clerical tasks efficiently. Responsibilities
- Serve as the front desk receptionist, greeting visitors and managing incoming calls through multi-line phone systems with professionalism and courtesy.
- Provide bilingual support by communicating fluently in both English and Spanish, assisting clients, vendors, and team members effectively.
- Manage calendar scheduling, appointment setting, and coordinate meetings to optimize time management.
- Perform data entry, maintain accurate filing systems, and handle document proofreading to ensure clarity and correctness.
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and organization.
- Support bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Handle clerical duties such as filing, photocopying, scanning documents, and maintaining office supplies inventory.
- Manage front desk operations including greeting visitors, answering multi-line phones with proper phone etiquette, and directing inquiries appropriately.
- Assist with office management tasks to promote a smooth workflow and efficient office environment.
- Provide customer support by addressing inquiries promptly and professionally via phone or email.
Experience
- Prior office experience in administrative or clerical roles is required; experience in office management is preferred.
- Proven bilingual proficiency in English and Spanish is essential for effective communication across diverse audiences.
- Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets, Calendar), and familiarity with QuickBooks accounting software.
- Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail.
- Experience handling multi-line phone systems, data entry, proofreading, filing systems, and customer service functions.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Personal assistant experience or familiarity with calendar management is advantageous.
