Description:
VNS Health is hiring an Administrative Assistant I to support daily operations within its assigned program or department in Bronx, New York. The organization is one of the largest nonprofit home- and community-based healthcare providers in the United States, serving New Yorkers for over 130 years and supporting more than 99,000 patients and members daily.
This position involves providing essential administrative and clerical support to ensure smooth departmental operations. The selected candidate will work under moderate supervision while assisting department leaders and staff with coordination, documentation, communication, and general office management tasks.
The role requires strong organizational abilities, attention to detail, and the capacity to manage multiple administrative responsibilities in a healthcare-focused environment. It also involves handling sensitive information, maintaining accurate records, and supporting communication between departments and staff.
Key Responsibilities:
- Perform general administrative tasks including photocopying, scanning, faxing, filing, and document organization
- Maintain accurate electronic and physical filing systems for departmental records
- Answer and route phone calls professionally, taking detailed messages when necessary
- Enter data into systems and maintain updated records using standard office software
- Prepare correspondence, reports, memos, and meeting materials as requested
- Receive, sort, and distribute incoming mail and manage outgoing communications
- Coordinate meetings, including scheduling, agenda preparation, and minute-taking
- Monitor and order office supplies and coordinate equipment repairs when needed
- Support department-specific administrative duties depending on assignment area
Department-Specific Duties May Include:
- Assisting with scheduling patient visits and managing clinician coordination
- Supporting referral processing, authorizations, and case assignments
- Helping with insurance verification and credentialing processes
- Maintaining compliance with healthcare documentation systems and updates
- Participating in special administrative projects as assigned
Qualifications & Requirements:
- High School Diploma or GED required
- Minimum 1 year of general office or administrative experience
- Strong communication and customer service skills (oral and written)
- Basic computer proficiency including Microsoft Word and Excel
- Prior healthcare or medical office experience is preferred but not mandatory
- Knowledge of insurance reimbursement or billing systems is a plus
Compensation:
- Hourly pay range: $19.18 – $23.99 per hour
