We continue to experience significant growth and require the assistance of an experienced Intake Paralegal. This role will assist in facilitating prospective clients through the intake process and ensure a seamless intake experience. The ideal candidate is highly organized, tech-savvy, and able to handle sensitive information with discretion.

Job Summary:
The Intake Paralegal serves as the first point of contact for prospective clients, guiding them through the intake process from initial inquiry to client onboarding. This position plays a critical role in shaping the client experience and supporting firm growth by ensuring efficient, professional, and confidential handling of all intake activities. This is an in-person role at any of our NY metro offices (Rockville Centre, NYC, Mount Kisco) with the option to work hybrid (depending on experience and ability to perform the work.)

Key Responsibilities:
  • Conduct initial client intake interviews via phone, email, or in person, as needed.
  • Gather and document critical case facts, contact information, and relevant legal issues.
  • Enter and maintain accurate client data in the firm’s CRM and case management system.
  • Conduct preliminary conflict checks.
  • Schedule consultations for attorneys and provide follow-up communication with potential clients.
  • Prepare and send engagement letters and retainer agreements to new clients.
  • Assist with client onboarding and transition to case teams.
  • Collaborate with attorneys and staff to ensure timely response to client inquiries.
  • Maintain confidentiality and comply with all legal and ethical guidelines.
Qualifications:
  • Associate or Bachelor’s degree preferred.
  • 5+ years of experience as a paralegal or legal assistant, preferably in an intake or client-facing role at a law firm
  • Familiarity with legal terminology and legal intake processes.
  • Experience using case management software (e.g., Clio, NetDocs, etc.).
  • Experience using a CRM, preferably Hubspot or Salesforce.
  • Exceptional formal writing skills.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.

Compensation:
Estimated starting salary for this position is $75,000-$85,000 per year
