Customer Service Representative - Administrative Assistant Remote
RecruitLytics is hiring a Remote Administrative Coordinator with a customer support focus to keep our operations running smoothly and our communication standards consistently high. You’ll manage scheduling, documents, and trackers while also supporting customer-facing email/chat workflows. This position is best suited for someone who is organized, responsive, and comfortable working independently in a remote setting. You’ll receive training, templates, and SOPs—success comes from accuracy, professionalism, and steady follow-through.
Responsibilities
Manage shared inbox workflows: sort, prioritize, respond, route, and escalate as needed
Coordinate scheduling across time zones, including confirmations and reschedules
Prepare professional documents and templates, ensuring consistent formatting
Maintain spreadsheets and trackers for projects, coverage, recruiting, and operations tasks
Provide customer support via email/chat using brand-approved language and tone
Log and document interactions in ticketing/CRM systems with accurate notes and tags
Create action-item summaries after meetings and send clear follow-ups
Maintain organized digital filing systems and version control
Support internal coordination by tracking deadlines and nudging stakeholders politely
Handle sensitive information with discretion and confidentiality
Work Tools
Google Workspace and/or Microsoft Office
CRM/ticketing systems (Zendesk, Freshdesk, Intercom, HubSpot, Salesforce, etc.)
Slack/Teams and Zoom for collaboration
Training is provided, and you’ll be set up with standardized templates and checklists.
Required Qualifications
Strong written English and professional email etiquette
Comfort with spreadsheets, file organization, and structured processes
Ability to multitask and prioritize work in a queue-based environment
Reliable internet and an appropriate home workspace
Willingness to work U.S.-aligned hours (EST/CST preferred)
Preferred Qualifications
Prior remote work experience
Familiarity with customer support metrics (CSAT, first response time, resolution quality)
45+ WPM typing speed and strong note-taking ability
Experience with task tools (Asana, ClickUp, Trello, Notion, Monday.com)
Exposure to subscription support, refunds, or basic billing workflows
