Full-Time: Monday-Wednesday 8am-5pm, Thursday 9am-6pm, Friday 8am-5pm
SUMMARY
The Operational Assistant supports the daily operations and compliance efforts of the Lewis County Outpatient location. This position assists directors with corporate compliance audits (monthly, quarterly, and annual), coordinates facility maintenance, manages inventory and supply procurement, and supports general administrative functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist directors with corporate compliance needs to include monthly, quarterly, and annual audits.
- Facility maintenance coordination: submit and track maintenance tickets and ensure a timely resolution.
- Maintain a welcoming and organized facility for employees and visitors.
- Supply management, monitor inventory levels, place orders, ensure necessary materials are available.
- Task Coordination: assist with inventory management, procurement, and project support as needed.
- New Staff Set Up, arranging office spaces, issue keys, overall building orientation.
- Data and reporting; maintain records, track and generate reports as required for the Clinical Director.
- Assist front desk staff in coverage, checking patients in/out, verifying insurance, collecting payments, scheduling, answering phones, providing general support and information to all.
- Engage and support individuals who are at higher risk of reoccurrence by collaborating and coordinating with outpatient staff to initiate dispensation process at the Lowville based clinic. To include Central Registry enrollment, coordinating with Watertown staff to initiate dispensation comprehensive services.
- Establish and maintain a professional relationship with individuals seeking services at the agency or current patients receiving agency services in order to facilitate engagement in treatment and improve retention
- Schedule appointments for all programs within the outpatient clinic.
- Accurately set up and maintain the clinical record to initiate services including demographics, insurance, billing, copays and basic health information. Complete routine verification of demographics and update chart accordingly.
- Conduct clerical duties, monitoring department email and fax machines, answering phone calls scanning information into electronic health records, signing visitors in and out of facility, etc.
- Performs other duties as assigned or that may develop.

EDUCATION and/or EXPERIENCE
Required: Must have a High School Diploma or GED; 2 years of similar office experience required.
Preferred: A two-year degree particularly in, business administration, or office management.
CERTIFICATES, LICENSES, REGISTRATIONS
Must maintain valid driver's license and acceptable driving record.
