Job Description Summary:
Amplify is seeking a strategic Executive Assistant (EA) to support five senior executives across our Marketing and Public Affairs (MPA) team, including Government Relations (GR). The ideal candidate is self-directed, motivated, and a natural collaborator. The EA will be responsible for a broad range of duties, including strategic calendar management, travel coordination, expense administration, and project planning for several high-impact team events.
Essential Responsibilities:
Strategic Calendar Management: Manage dynamic executive calendars, proactively identifying schedule conflicts and optimizing meeting logistics (including A/V readiness and accessible settings).
Executive Travel Coordination: Orchestrate seamless travel itineraries in compliance with company guidelines, preemptively resolving schedule conflicts and swiftly mitigating travel emergencies, including on occasional weekends during busy conference seasons.
Expense Administration: Prepare and submit monthly expense reports accurately and on time.
High-Impact Event Planning: Lead logistics and create detailed project plans for major team and department events, managing venues, catering, and A/V to guarantee exceptional attendee satisfaction.
Culture & Team Operations: Champion team cohesion by organizing regular team-building activities, such as virtual gatherings with interactive learning sessions.
Administrative Leadership: Function as the key administrative lead for GR leadership, tracking office correspondence, producing operational reports, and managing core processes like vendor invoice remittance and contracts.
Continuous Improvement & Mentorship: Act as a collaborative team leader by proactively sharing technical efficiencies (e.g., AI integrations) and institutional knowledge to elevate team operational efficiency.
Cross-Functional Communication: Establish and manage positive relationships across all levels of the company, prioritizing tasks efficiently and effectively communicating with internal leadership, external partners, and vendors
Required Qualifications:
College degree or equivalent experience
3+ years of experience as an Executive Assistant in a professional office environment
Experience using Google Suite and demonstrated familiarity with AI to improve operational efficiency
Excellent verbal and written communication skills
Excellent organizational, analytical, and problem-solving skills
Demonstrated ability to navigate a fast-paced environment, full workloads, and provide occasional weekend support (e.g., for urgent travel or expense needs)
Ability to prioritize competing tasks, manage interruptions, anticipate changing needs, and adjust priorities throughout the day
Preferred Qualifications:
5+ years of experience as an Executive Assistant in a professional office setting
Proficiency with Google Suite (Gmail, Calendar, Sheets), Microsoft Suite, Tableau, Salesforce (or equivalent CRM), and Smartsheet is a plus
Experience collaborating with people from all organizational levels and backgrounds
Interest in government relations, communications, and marketing
What we offer:
Salary is only one component of the Amplify Total Rewards package, which includes a 401(k) plan, competitive health insurance and mental health options, basic life insurance, paid time off, parental leave, and access to best-in-class development programs. The gross salary range for this role is $95,000 - $108,000. This role is eligible to earn an annual discretionary bonus that rewards individual and company performance.
