JOB SUMMARY
The Staff Accountant will support the Finance Department by working closely with the Controller, the Director of Finance, and the CFO & Director of Administration. This role includes responsibilities such as audit preparation, transaction processing, expense and reimbursement review, general bookkeeping in NetSuite by Oracle, financial recordkeeping and reconciliation, and other related duties. This is an excellent opportunity for a detail-oriented individual seeking to build and strengthen their accounting skills in a mid-level position.
ESSENTIAL FUNCTIONS
- Enter vendor bills in the accounting system for payment.
- Process all accounts payable, which include verifying manager approvals for amounts to be paid and ensuring proper supporting documents are organized and filed electronically.
- Create check payments, post, file backup documentation, and mail check disbursements. Monitor online banking processes, including positive pay.
- Prepare Accounts Receivable vouchers and general ledger journal entries.
- Review customer discrepancies and past-due amounts. Follows up on delinquent accounts as requested.
- Prepare deposits for the bank, reconcile them, and enter them into the accounting system.
- Review credit card activity, reconcile, and enter the accounting system.
- Assist with grant financial reporting and staff timesheet compilation.
- Collect W-9s and 1099 reporting.
- Maintain accounting schedules, including fixed assets, prepaid schedules, payroll liabilities, and deferred revenue.
- Create and record month-end accrual journal entries, including depreciation and prepaid assets.
- Assist with funder reviews and annual audit preparations.
- Solicit and record in-kind donations for frontline and office needs.
- Accomplishes all other duties and tasks as appropriately assigned or requested.
- This position will report directly to the Director of Finance.

EDUCATION, KNOWLEDGE, SKILLS & ABILITIES
- Candidates should have an associate or bachelors degree with at least two years of relevant experience, a high school diploma with substantial related experience, or an equivalent combination of education and experience.
- A well-organized, analytical individual who can pay attention to detail, with good interpersonal and communication skills.
- Demonstrated creativity in developing forms and methodology for grant management and new processes.
- Familiarity with databases, Microsoft Word, and spreadsheet skills using Excel.
- The ability to work collaboratively in a team environment and demonstrate initiative and problem-solving skills is essential.
