Job Summary
Westchester based Architectural firm seeking a dynamic, friendly and organized Receptionist/Administrative Assistant to join our team! This energetic role is vital in creating a welcoming environment for visitors and providing essential administrative support across various departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to ensure smooth daily operations.   • Greet visitors and clients in a warm and professional manner and direct them appropriately, ensuring a positive first impression.
  • Manage multi-line phone systems, screen calls, and relay messages efficiently with professional phone etiquette.
  • Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming correspondence.
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records accurately.
  • Maintain organized filing systems, both physical and digital, for easy retrieval of documents.
  • Support office management tasks such as supply inventory, calendar management, and coordinating meetings.
  • Assist with clerical duties including proofreading documents, preparing reports, and supporting customer service efforts to ensure client satisfaction. Skills
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Previous office experience or clerical background demonstrating familiarity with administrative procedures.
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette.
  • Bilingual abilities are a plus for communicating with diverse clients and team members.
  • Knowledge of QuickBooks or bookkeeping experience is advantageous for handling basic financial tasks.
  • Ability to perform data entry accurately while maintaining attention to detail; typing speed is beneficial.
