Job Title: Executive Assistant – Pediatric Medical Practice
Location: Pomona, NY
Part-Time: Tuesday, Wednesday, Thursday (10:00am-4:00pm)
Job Description:
We are a growing pediatric medical practice looking for a highly organized, reliable, and proactive Executive Assistant to support the practice owner with administrative, operational, and organizational tasks. This role is ideal for someone who enjoys organization, problem solving, and helping a business run smoothly behind the scenes.
This position will include a mix of administrative work, communication, scheduling, project coordination, and assisting with day-to-day business operations.
Responsibilities may include:
- Managing email and correspondence
- Scheduling meetings and managing calendar
- Assisting with HR tasks (employee onboarding paperwork, tracking trainings, etc.)
- Communicating with vendors, billing companies, and insurance companies
- Helping organize office systems and workflows
- Assisting with marketing, flyers, and basic office communication
- Tracking tasks and projects to ensure things are completed
- General administrative and executive support
Qualifications:
- Highly organized and detail-oriented
- Strong written and verbal communication skills
- Able to multitask and prioritize
- Comfortable with Google Docs, Excel, email, and basic office software
- Self-motivated and able to work independently
- Experience in a medical office or small business is required
