Office assistant
About the Role:
We are seeking a proactive and organized Office Assistant to join our reputable law firm. The ideal candidate will be computer savvy, bilingual in Spanish and English, and possess excellent interpersonal skills. This role is vital in ensuring the smooth operation of our office and delivering exceptional support to our team and clients.
Key Responsibilities:
-Greet clients, visitors, and firm personnel professionally in person, over the phone, and via electronic media, including email.
-Assess the needs of clients and visitors, providing information regarding the firm's services, procedures, and guidelines. -Handle requests and transactions efficiently, directing inquiries to the appropriate department or personnel. -Keep the office organized and well-supplied by maintaining inventory of office supplies and placing orders as needed. -Oversee clerical tasks such as sorting and mailing correspondence, maintaining and organizing files, and taking notes during meetings. -Manage incoming and outgoing mail and deliveries. -Answer and screen phone calls, take messages, and relay information accurately. -Schedule meetings, prepare agendas, and send invitations to attendees. -Welcome visitors and ensure they are comfortable while maintaining a professional environment. Perform general administrative duties to support the daily operations of the law firm.Qualifications:
-High school diploma or equivalent required.
-Strong computer skills, including proficiency with MS Office Suite (Word, Excel, Outlook). -Bilingual in Spanish and English, with excellent verbal and written communication skills in both languages. -Excellent organizational and multitasking abilities. -Friendly and professional demeanor with strong customer service skills. -Ability to prioritize tasks and work independently with minimal supervision.Please Email resume to [email protected] - positively no phone calls will be accepted for this
