Summary
This positions provides administrative support for CME's Elmira Division with a focus on invoicing and payroll preparation.
Responsibilities and Duties
- Perform general receptionist duties including telephone screening and distribution, responding to and directing callers, electronic and manual filing.
- Assist with timesheet and expense processing and coding, as well as payroll postings.
- Perform Accounts Receivables calls/emails and maintain record of communications.
- Prepare and Submit Sales, Payroll and other various reports to corporate office.
- Prepare invoices for review by management and transmit invoices to clientele.
- Assist with scheduling field work as needed.
- Create and maintain new client/project databases and field folders.
- Scan, upload, and save all plans, specifications, and drawings by client/project.
- Input data, including but not limited to, mix designs and proctors, concrete specifications, and other technical information as needed.
- Type technical reports for project manager review and upload as needed.
- Create, maintain and update hard copies of project folders, job folders and field folders with appropriate documentation.
- Create and maintain new project checklist including transmittals, scope of work, and numbering log.
- Electronically file all relevant documents into appropriate folder, i.e., signed contract, RFI's, drawings, maps, etc.
- Provide exceptional and personable customer service.
- Maintain confidentiality of sensitive information.
Qualifications and Skills
- Must possess a High School Diploma; Associates Degree is preferred.
- Customer service experience and a minimum of 2 years' experience performing administrative functions.
- Possess good interpersonal and communication skills.
- High degree of proficiency in Microsoft Office programs, including Word, Excel, and Outlook.
- Ability to edit PDF documents.
- Must have accurate and efficient data entry skills.
- Attention to detail and problem-solving skills.
- Strong organizational and time management skills.
- Experience with billing/invoicing and A/R is ideal.
- Working knowledge of office equipment, such as printers and multi-line phone systems.
