Job Summary: We are seeking a detail-oriented and customer-focused Retail A/R Specialist to manage receivables who can work independently while also serving as a key collaborator across teams. This role involves processing payments, managing collections, and handling incoming customer inquiries. The ideal candidate has Electronic Data Interchange (EDI) experience and excels in a high-volume retail environment, communicates effectively, and is skilled at resolving billing and payment issues with accuracy and professionalism.
Essential Job Functions:
- Manage the full-cycle accounts receivable process for retail customers, including invoice generation and submission, payment posting, and account reconciliation.
- Monitor aging reports and follow up with retail customers to ensure timely collections.
- Investigate and resolve chargebacks, short payments, and deductions in collaboration with internal teams (sales, logistics, customer service).
- Maintain accurate records of all customer communications and transactions.
- Reconcile customer accounts regularly and process adjustments or credit memos as needed.
- Prepare and distribute regular AR reports to management and cross-functional departments.
- Support month-end closing processes related to AR.
- Build and maintain strong relationships with retail clients to facilitate smooth collections and dispute resolution.
- Process customer payments via phone, online portals, or internal systems, ensuring accurate application to accounts.
Requirements
Required Skills & Abilities:
- 2+ years of experience in accounts receivable, preferably in a retail or consumer products environment.
- Experience processing payments via phone or digital platforms.
- Excellent phone etiquette and customer service skills.
- Proficiency with ERP systems (e.g., Infor/Syteline, Microsoft Dynamics 365, Oracle) and Microsoft Excel, Word, Outlook, Teams.
- Experience with Electronic Data Interchanges (Coupa, Ariba, etc)
- Strong attention to detail, accuracy, and problem-solving skills.
- Comfortable handling high-volume calls and multitasking in a fast-paced environment.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to use standard office equipment such as a computer, telephone, calculator, printer, and copier.
- Must be able to communicate clearly via phone, email, and in person.
- Occasionally required to lift or carry items up to 15–20 pounds (e.g., office supplies, files).
- May require occasional bending, stooping, or reaching for files or office materials.
- Ability to focus and perform repetitive tasks with a high degree of accuracy.
