About At Play

At Play is an inclusive, accessible indoor playspace for children 0–7 and their families, located at 28 Spring Brook Park in Rhinebeck, NY. We opened in September 2025 and operate seven days a week, offering open play, birthday parties, classes, drop-in sessions, and room rentals. We are a 501(c)(3) nonprofit rooted in the belief that play is essential — for children and for communities.

Weekends at At Play are our highest-energy days. Birthday parties, open play families, and community visitors fill the space — and we need someone exceptional to own that experience.

The Role

The Event Coordinator & Weekend Lead is a part-time position with a mix of weekday prep work and weekend floor presence. You are the person who makes our weekend experience seamless — for the families celebrating birthdays, for the guests exploring the space for the first time, and for the staff who need a steady, experienced presence to lean on.

This is not a behind-the-scenes coordination role. You will be present, visible, and engaged — greeting families, supporting staff, and ensuring every event runs exactly as it should.

The right person is warm and organized, thrives in a fast-moving environment, and genuinely loves being part of a celebration.

What You’ll OwnWeekend Floor Leadership

• Serve as the senior presence on the floor during weekend shifts
• Support part-time staff and ensure the space runs to At Play’s standard
• Be the go-to for family questions, concerns, and in-the-moment decisions
• Maintain the energy, warmth, and cleanliness of the space throughout the day

Birthday Parties & Private Events

• Coordinate setup, flow, and breakdown for birthday parties as needed
• Greet party families on arrival, review the schedule, and set expectations
• Support smooth transitions between open play and private event spaces
• Ensure every family leaves feeling celebrated and well taken care of

Weekday Coordination (approx. 8 hrs/week)

• Manage party and event logistics in advance — confirmations, prep lists, room setup planning
• Coordinate room rental bookings and communicate with renters
• Collaborate with the Community Space Lead on weekly handoff and scheduling
• Support administrative tasks related to events and programming

Schedule

Weekdays (select days)

Approximately 8 hours/week for coordination and prep

Saturday & Sunday availability required

This is a part-time hourly position. Specific weekly hours vary based on event volume and scheduling. Weekend availability is required — exact days and hours will be scheduled collaboratively.

Compensation Details

Hourly rate: $24/hour

Classification: Part-time hourly

NYS paid sick leave Included

Experience & background:

• Experience in events, hospitality, childcare, or a related service environment
• Comfort with birthday parties, private events, or similar high-touch guest experiences
• Organized and detail-oriented, especially under time pressure
• Familiarity with children ages 0–7 a strong plus

At 90 days:

• Weekend operations are consistent and well-coordinated with the weekday Lead
• Party families regularly leave glowing reviews and re-book
• Event logistics are handled proactively — no last-minute scrambles
