Executive Assistant
The Company
Friedman Vartolo LLP is a fast-growing, New York-based law firm specializing in real estate and default services, with over 300 employees providing top-tier legal services to our clients in seven states. While our legal expertise sets us apart, it's our mindset that drives us forward. We bring a fresh, fast-paced energy that drives our momentum and shapes how we approach every challenge.
We are a company that chooses to dig deeper, solving problems at the root instead of settling for surface fixes. Here, there are no passengers because every individual adds value, owns outcomes, and moves the firm forward. With an underdog mentality, we embrace constant elevation, always sharpening, always climbing, and never coasting. When challenges come, we row together and lean in as one team to get the job done, no matter what.
The Position
This is not your typical Executive Assistant role. It offers meaningful exposure to senior management and the opportunity to contribute to high-level projects and strategic initiatives. You'll play a pivotal role in supporting the firm's goals, gain insight into executive decision-making, and work in a fast-paced, dynamic environment. This role is ideal for someone who is eager to learn, highly motivated, and seeking long-term professional growth within a collaborative organization.
What You'll Be Doing:
- Serve as a trusted "right-hand" to senior management, managing complex calendars, organizing meetings, and preparing leadership for strategy sessions.
- Oversee and manage executive inboxes, drafting correspondence, flagging urgent matters, and ensuring timely follow-ups.
- Develop a deep understanding of leadership priorities, goals, and preferences to operate as an effective extension of the senior management team.
- Coordinate and plan business and personal travel, conference participation, and leadership attendance at firm events.
- Support client-facing marketing events and business development activities as needed.
- Handle essential behind-the-scenes tasks-occasional errands, important phone calls, and logistical details-to keep operations running smoothly.
- Collaborate closely with senior management on projects and initiatives that advance the firm's strategic objectives.
What We're Looking For:
We're looking for someone who is:
- Confident in taking ownership and proposing solutions while knowing when to seek guidance. Comfortable making mistakes, learning from them, and embracing constructive feedback.
- Highly driven and motivated to support the firm's growth. Confident in their ability to achieve excellence and excited to contribute to our industry leadership.
- Detail-oriented and organized, with a passion for making lists and ensuring that every task is checked off.
- A versatile writer and able to meticulously edit complex documents with zero errors.
- Unflappable under pressure, with a competitive drive and the ability to thrive in high-stakes situations.
- Tech-savvy and quick to learn new tools and platforms, with a keen interest in ChatGPT or other large language models-or ready to become obsessed.
- Familiar with the legal industry or experienced in a law firm environment (preferred but not required).
- Logical and proactive, able to navigate complex situations and make swift decisions without overthinking.
Qualifications:
- 3+ years of experience in a legal or law office setting preferred.
- 3+ years in operations, executive support, or a similar role.
- Bachelor's degree from an accredited institution is required.
- Post-graduate degree is a plus but not mandatory.
Why Join Us:
- This role is designed as a growth opportunity.
- Be part of a firm that is transforming the industry with innovative approaches.
- Work in a fast-paced, high-energy environment where your contributions are valued.
- Gain exposure to high-level strategy and decision-making.
- Enjoy a supportive, fun, and collaborative team culture.
