Operations Manager

Pay Range : $32.41 - $32.96 per hour (est. $59000 - $60000 per annum)
FLSA Classification : Full-time (35 hours per week) Non-Exempt
Role Summary
The Operations Manager oversees the daily operations of their Transitional Housing Program ensuring a safe supportive and well-managed environment for clients and staff. This role is responsible for supervising facility operations coordinating program services and ensuring compliance with operational standards imposed by the organization and/or authorized government bodies.
Primary Job Responsibilities/Duties
The primary job duties and responsibilities of the Operations Manager shall include but not necessarily be limited to the following:
- Manage day-to-day program operations facilities management and client supportsystems.
- Supervise thePrograms Residential Aides Shift Supervisors and other Operations staff (if any) to ensure their timely and appropriate service delivery toclients.
- Provide other Operations staff with ongoing coaching training and performance evaluations topromote professional growth andaccountability.
- Provide employees and clients with guidance concerning relevant policies and procedures including but not limited to conflict resolution and de-escalation techniques to promote safety andcompliance.
- Participate in the development of operational goals objectives and procedures for the Program making recommendations for changes to existing standards andprocedures.
- Serve as the Programs main advocate and daily representative in communications with third parties concerned with or hired to provide maintenance security and/or cleaning or housekeepingservices.
- Work closely with the Programs Director ofOperations/Security to ensure compliance with applicable health fire safety and emergency preparedness standards as well as any contractual obligations related to theProgram.
- Work closely with the Programs Director ofOperations/Security to ensure compliance with local state and federal rules and regulations including those promulgated by the City of New Yorks Department of Homeless Services (DHS) and other authorized regulators and governmentbodies.
- Conduct regular audits of program documentation case notes and operational reports to maintain program integrity.
- Respond to and manage crises incidents or emergencies in coordination with other NAICA leadership andstaff.
- Establishing and implementing team schedules and work tasks for theteam.
- Prepare and submit operational reports incident logs occupancy reports and other documentation asrequired.
- Foster a positive and collaborative work culture that prioritizes client well-being and staffsafety.
- Maintain ongoing communication with all Operations department supervisors/directors concerning anyissues.
- Report directly to the Programs Director of Operations/Security and indirectly to its Site Director about all activities needs/concerns and incidents within thefacility.
- Support the implementation and monitoring of Standard Operating Procedures (SOPs) across theprogram.
Physical Requirements
- Ability to sit at a desk work on a computer and perform repetitive tasks for prolonged periods oftime.
- Ability to regularly engage in physical activity including bending over lifting reaching grasping standing and walking.
- Must be able to grasp pull lift and carry up to 25pounds.
- Must be able to travel to multiple NYC sites asneeded.
Work Environment / Schedule Requirements
- Office setting with regular exposure to computer screens and moderate noiselevels.
- May be required to work evenings or nights weekends (Saturdays and/or Sundays) and holidays when Program needs require.
- This position follows a regular weekly schedule. However the Program operates twenty-four (24) hours per day and three hundred sixty-five (365) days per year so variable or additional hours may occasionally be necessary to effectively fulfill the responsibilities of the position based on organizational needs deadlines orevents.
- Staff must continue working past their shift unless relieved by another staff member or authorized to leave by a supervisor.
Qualifications
- High school diploma or GED plus one (1) or more years of experience in facilities management (preferably for a residential facility) or in the alternative an Associate degree in facilities management or a relatedfield
- Experience working for NAICA and a track record ofabove-average performance reviews(preferred)
- Certificate ofFitness for Coordinator of FireSafety and Alarm Systems in Homeless Shelters(F-80)
- Strong knowledge of DHS or similar regulatoryframeworks
- Excellent organizational communication and problem-solvingabilities
- Proficiency in MS OfficeSuite
- Proficiency in CARES(preferred)
- Proven leadership conflict resolution and team managementskills
- Ability to implement and ensure compliance with policies andprocedures
- Strong analytical organizational problem-solving skills and effective managementskills
- Must be able to read speak write and understand English for administrativepurposes
- Must pass drug screening to beappointed
- This position may be subject to a series of screenings before and afterappointment
