Sales Administrative Assistant

We are seeking a proactive Sales Assistant / Lease Coordinator to drive the sales cycle within the document imaging and office technology industry (Farmingdale, NY). In this role, you will manage the full leasing process from quote to funding, coordinate equipment installations with warehouse and service teams, and maintain high data accuracy within Salesforce. You will act as a professional liaison between sales reps, leasing partners, and customers to collect required documentation and ensure seamless account onboarding.

Candidates must have prior experience in a Sales Assistant role and proficiency in Salesforce. Basic Excel skills, including the use of formulas, are required to manage industry-specific sales tracking and reporting.

Responsibilities

  • Sales Enablement: Prepare quotes, proposals, and contracts; manage internal approvals for pricing and promotions.

  • Leasing Management: Act as the lead liaison for leasing partners, handling credit applications, documentation, and funding packages.

  • Order Coordination: Oversee the order lifecycle by verifying configurations and coordinating with warehouse and service teams for delivery.

  • CRM & Data Integrity: Maintain accurate records in Salesforce (or similar CRM), ensuring all documentation is categorized and compliant.

  • Customer Liaison: Facilitate a professional onboarding experience by collecting required IDs, POs, and insurance documents.

  • Account Tracking: Proactively monitor lease expirations, renewals, and buyout requests to drive repeat business.

  • Reporting: Generate sales tracking reports and spreadsheets to support team initiatives and data accuracy.
