SUMMARY

Family Service League (FSL) is seeking a part-time Volunteer Coordinator and Events Assistant to work in our Administrative Office in Huntington, NY. The Volunteer Coordinator and Events Assistant maintains a comprehensive volunteer intake program for FSL focused on the needs of all programs, including agency events and activities. This position will include interviewing, processing and maintaining volunteer records as well as representing FSL at events focused on volunteer opportunities and maintaining volunteer opportunities online. Additionally, this position supports the planning and execution of the organization’s major fundraising events (3 -4 per year) by handling administrative tasks, coordinating logistics, and providing on-site support.

RESPONSIBILITIES

  • The Volunteer Coordinator and Events Assistant will be responsible for all Volunteer recruitment efforts, including social media (in coordination with our Social Media Coordinator), online recruitment and outreach.
  • Respond to all requests from prospective Volunteers via phone, mail, email, online or in-person.
  • Present at/participate in volunteer recruitment functions.
  • Ensure completeness and accuracy of all volunteer applications, including the processing of background checks and other required paperwork for each Volunteer.
  • The Volunteer Coordinator and Events Assistant will serve as a liaison to program staff to ensure volunteer needs in the programs are met, as well as assessing ongoing needs for additional volunteerism.
  • Oversee maintenance of volunteer information, including the FSL website, to ensure it is up to date and accurate in coordination with the web manager.
  • Supervise the collection and data entry of Volunteer hours on a monthly basis.
  • Update and maintain Volunteer Manual and Program Manager Guide and distribute to all volunteers and volunteer managers.
  • Plan and implement volunteer recognition efforts during Volunteer Recognition Month and throughout the year.
  • The Volunteer Coordinator and Events Assistant will provide reports on volunteer activities, as requested.
  • Keep volunteers apprised of FSL fundraising efforts.
  • Assist the Development team with special event initiatives, including securing vendors and prizes, helping with on-site set-up and breakdown, and acting as the lead coordinator of fundraising event volunteers.
  • All other duties as assigned.

QUALIFICATIONS

High school diploma required; Bachelor’s degree in marketing, communications, human services or related field preferred.

Experience with event management, coordination, or fundraising is preferred.

Availability to attend FSL’s three major fundraising events.

Proficient computer skills, including Microsoft Office required; Canva preferred.

Ability to work independently and as part of a team is required.

Excellent interpersonal and verbal and written communication skills required.

PHYSICAL REQUIREMENTS

This position is “in-person/on-site” and is located at FSL’s 790 Park Ave., Huntington, NY office.

Must be able to lift boxes of up to 25 pounds.

Requires occasional travel for events.
