Administrative Assistant for Energy Technology Provider
Hello! We're Bellawatt! Everything we do is to deeply connect the utility and the customer, transforming customers into educated consumers and even prosumers as the whole ecosystem maximizes the value of electrification and Distributed Energy Resources (DERs). Simply put, utilities aren't going anywhere, and they're currently being underserved in their ability to wow and please their customers. We're most famous for running PG&E's energy efficiency marketplace ( and have some novel prices-to-devices Virtual Power Plant (VPP) work under our belts.
Behind the scenes, we've been remote for 7+ years, are bootstrapped and profitable, and work quite well together. We expect to be here for a long time to come, and we hope the colleague that fills this role becomes a part of our collective journey over the long-run.
For this role, we're looking for an exceptionally organized administrative assistant to create leverage for our leadership team by reducing cognitive load, protecting time, and taking ownership of high-trust operational and administrative tasks.
The Role
As Bellawatt's Administrative Assistant, you'll be the operational backbone that allows our CEO and leadership team to focus on growth while ensuring the business fundamentals run smoothly. This isn't just calendar management — you'll own entire workflows, bring structure to fragmented processes, and become the go-to person who makes things happen. In your first 3 months, you will:
Take recurring work off leadership's plates
- Maintain digital inboxes and handle inquiries sent to [email protected]
- Monitor time tracking in Harvest and ensure timely entries across the team
- Process expenses and begin tracking KPIs for leadership review
- Bring consistency to otherwise scattered administrative workflows
Give Eugene hours per week back for deep work
- Manage Eugene's inbox and calendar with confidence and discretion
- Operate a system to triage, flag, and respond to emails
- Handle email interactions with attention to tone, timing, and detail
Execute administrative tasks independently
- Register Bellawatt for utility RFP portals and track portal access and notifications
- Set up business accounts, platform logins, and onboard vendor tools
- Field communications from state agencies and other external stakeholders
- Bring structure and consistency to ad-hoc operational tasks
Maintain internal systems and documentation
- Ensure Bellawatt's internal tooling (project trackers, handbooks) works as expected
- Flag issues and support resolutions
- Maintain documentation that keeps the team aligned
By 6-12 months, you'll expand into:
- Helping to manage resourcing to keep project assignments, capacity, and timelines current
- Tracking core BD KPIs and operational metrics using data from Harvest and HubSpot
- Supporting the administrative side of RFP submissions (uploading documentation, managing checklists, tracking status)
- Providing monthly reporting on business health and team time allocation
This is a full-time role with a salary of $55,000 remote or $65,000 in NYC with access to Bellawatt’s BK office in Greenpoint. Benefits include health insurance, a 401(k) plan, and Macbook and home office budgets. This position reports directly to the CEO, with opportunities to grow into internal operations, sales operations, or executive assistant responsibilities as the company scales.

You're a clear, professional communicator . You summarize well, flag issues early, and write professionally, whether in an email reply, meeting notes, or documentation. Strong async communication is critical for our remote team.
You take initiative and work independently . You execute without needing to be chased. You know when to ask questions and when to just get it done. Given how Bellawatt works, many tasks won't be perfectly defined, and you're comfortable with that ambiguity.
You're discreet and trustworthy . You'll manage sensitive information with care and confidentiality, and represent Bellawatt and its leadership with professionalism.
You're comfortable with modern async tools . You work confidently across Google Workspace, Slack, Notion, HubSpot, Airtable, Ariba, and Harvest. You adapt quickly to new systems.
You're responsive when it matters . You stay on top of requests as they come in and respond promptly, especially when time-sensitive tasks pop up. You bring a steady, can-do presence to the team.
Culturally, we don't micromanage here and provide lots of time for quality work, which hopefully results in productive and impactful days most of the time. Someone who is curious, self-sufficient, and a writer at heart would likely be quite happy here.
Bonus points if:
- You're located in or around New York City
- You have experience in energy, utilities, or B2B professional services environments
- You've been an EA, office manager, or operations coordinator at a 15-50 person company
