NYC Staffing Supervisor
Super Soccer Stars is seeking a full-time Staffing Supervisor to join our team in NYC!

Job Summary: The Staffing Supervisor oversees and manages the daily and long-term staffing operations to ensure that all classes are fully staffed according to Youth Athletes United standards. This role is responsible for proactively planning schedules, identifying and resolving staffing issues, and coordinating with management to ensure smooth program operations. The Staffing Supervisor acts as a key point of leadership for the staffing team, ensuring that operational needs are met and that coaches are scheduled efficiently and effectively. This role will require you to work in person at our Upper West Side office from Tuesday through Saturday.
Key Responsibilities:
Daily Staffing Operations and Scheduling
- Supervise daily staffing operations across assigned programs, ensuring consistent quality and appropriate coach placement.
- Prepare and oversee coach schedules at least three weeks in advance, ensuring all classes are fully staffed.
- Monitor class assignments to maintain proper child-to-coach ratios and verify coach qualifications.
- Adjust day-to-day coach coverage to address last-minute absences, enrollment changes, or program needs.
- Forecast short-term staffing needs (4–8 weeks) based on enrollment trends, seasonal patterns, and coach availability.
Team Leadership & Oversight
- Supervise and guide the Staffing Coordinator and the Staffing Representative
- Support the staffing team in their daily operations and decision-making.
- Ensure consistent coaching assignments, minimizing the number of different coaches per class per season.
- Develop strategies to maintain coach consistency and optimize coverage across programs.
- Oversee the Overstaffing Report to identify excess coverage and optimize staffing levels.
Quality Control & Reporting
- Maintain quality control on staff assignments to ensure coverage standards and program requirements are consistently met.
- Identify staffing issues, such as gaps in coverage, conflicts, or high turnover, and collaborate with the Staffing Manager or Operations Manager to implement effective solutions.
- Communicate weekly coverage gaps, scheduling risks, and other staffing concerns to management.
- Review schedules to prevent coaches from being scheduled on their day off and ensure all time-off and sick leave requests are properly processed.
- Report daily changes, issues, and staffing concerns to the appropriate department or management.
- Provide actionable recommendations to improve staffing efficiency and coverage consistency.
Additional responsibilities as required
Schedule:
- Tuesday to Thursday: 9 AM to 6 PM
- Friday and Saturday: 8 AM to 5 PM
- In-person role
- Schedule may shift based on seasonal needs
Requirements
- 2+ years of experience in staffing, scheduling, operations, or workforce coordination
- 1 year supervising or leading a team
- Demonstrated experience managing weekly staff schedules for employees or contractors
- Ability to manage 3+ competing priorities simultaneously (scheduling, callouts, reporting, team oversight)
- Strong verbal and written communication skills, including drafting professional updates to staff members at once
- Ability to produce weekly staffing reports or coverage updates
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Excellent problem-solving skills and ability to make real-time staffing decisions
- High attention to detail, especially when managing schedules and ratios
- Ability to forecast needs based on trends and demands
- Comfortable escalating risks and presenting staffing recommendations
- Team-oriented mindset with a proactive, solutions-focused approach
- Proficiency in Google Workspace
