We are looking for a skilled Administrative Assistant to join a non-profit organization in Rochester, New York. This Contract-to-long-term position involves providing comprehensive support to senior leadership, ensuring smooth operations and effective project coordination. The ideal candidate will possess strong organizational skills and the ability to work independently in a fast-paced environment.
Responsibilities:• Manage and coordinate projects by organizing timelines, tracking progress, and ensuring deadlines are met.
• Prepare and generate quotes, estimates, and other sales-related documents with accuracy and attention to detail.
• Conduct research and compile relevant data to support decision-making processes.
• Provide administrative support, including scheduling meetings, managing calendars, and handling correspondence.
• Perform miscellaneous clerical duties such as filing, data entry, and document preparation.
• Assist with internet-based tasks, including online research and navigation.
• Maintain organized records and documentation for easy access and retrieval.
• Collaborate with team members to ensure smooth communication and workflow.
• Handle multitasking efficiently while prioritizing tasks based on urgency.
• Support the implementation of operational changes as needed.• Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
• Strong written and verbal communication skills.
• Excellent typing skills and ability to navigate the internet effectively.
• Proven ability to multitask and prioritize tasks in a dynamic environment.
• Highly organized with a keen attention to detail.
• Self-motivated and capable of working independently.
• Background in material handling is an asset but not required.
