JOB SUMMARY: Answers incoming calls, keeps records and miscellaneous files up to date and is responsible for the general functioning of the main switchboard.
DUTIES & RESPONSIBILITIES:
- Obtains faxes from Exchange in Administration, then pass the messages on to the Pediatric Department.
- Maintains schedule of the physicians on call for the day and reports changes.
- Reports any malfunctions in the telephone system; explains problems to the appropriate people.
- Trains personnel in the use of the switchboard.
- Takes messages for the physicians’ offices when needed.
- Responsible for the night switches to be turned off at the end of the day; notifies Administration of any changes to the on call at the end of the day.
- Orders and obtains out of state and the New York telephone directories.
- Prepares and mails shot records and returns calls to parents concerning shots.
- Assists as needed in preparing Health Affidavits, making appointments, writing charge tickets, sending for charts, and forwarding medical records.
- Performs related work as required.
- Responds in a courteous and efficient manner in dealing with patients over the phone and in person; must convey a soft, caring tone of voice, remain calm during crisis situations and be able to perform all aspects of the job.
- Attends OSHA upon initial employee orientation and annually thereafter.
RELATIONSHIP WITH OTHERS: Direct relationship with patients/families, physicians and staff.
Requirements:EDUCATION/EXPERIENCE/KNOWLEDGE: High school diploma or equivalency certificate. Three years experience in a telephone switchboard setting preferred. Excellent customer service skills.
PHYSICAL REQUIREMENTS: Classification of work level: Heavy. Requires sitting, standing, bending and reaching. May require lifting up to 25 pounds using proper body mechanics. Requires manual dexterity to operate standard office equipment such as computer, fax and telephone. Requires hearing and vision that is adequate to perform job duties.
