Advancement Services Assistant

The Paulist Fathers are seeking an on-site, temporary and part-time Advancement Services Assistant at their midtown Manhattan location. The Paulist Fathers are a welcoming non-profit religious community dedicated to serving the Catholic Church and promoting spiritual enrichment. This position is temporary through June 1st, however it may lead to a more permanent role within the organization based on performance and organizational needs.

Job Summary:

The Advancement Services Assistant reports to the Associate Director of Development and assists in the day-to-day operations of a busy development fundraising office. The position's work hours are Monday through Friday, 10:00 to 4:00. As an Advancement Services Assistant, you'll play a crucial role in supporting Paulist mission, contributing to their ongoing work of making a positive impact on individuals and communities by supporting the fundraising work of a busy small mission advancement team.

Responsibilities:

• Perform general clerical tasks including processing mail, managing invoicing and processing deposits
• Make pledge collection calls
• Prepare acknowledgement letters and ensure that all correspondences are error-free
• Manage department phone calls and emails efficiently
• Provide excellent customer service by responding promptly and professionally to donor inquiries by phone and email
• Schedule meetings and take meeting notes
• Perform data entry tasks accurately
• Perform various administrative tasks, including create name tags, execute mail merge and other administrative duties as assigned
• Utilize Excel spreadsheets and reports

Qualifications:

• College degree (or equivalent work experience)
• Proficient in Google and MS Office Suite (Word, Excel, PowerPoint)
• Experience working in an office environment
• Good people skills and the ability to contribute to a positive team atmosphere
• Strong attention to detail
• Physical ability to sit at a desk in front of a computer monitor, stand at a copier or filing system for a lengthy period and lift mail/packages as needed
• Comfortable working in a religious setting
• Prior fundraising experience a plus
• Familiarity with Productivity and Project software like Trello a plus
• Salesforce database experience a plus
