Executive Assistant to High Level Executive and Philanthropist
A Boutique luxury lifestyle brand is seeking an exceptional Executive Assistant to partner closely with CEO. This is a true Executive Assistant role, and will partner with senior leadership to be very involved in projects and events. This for someone who can keep a busy executive on track in a fast paced, entrepreneurial environment.
- Compensation:120-125k + bonus
Responsibilities:
- Oversee CEO’s schedule, ensuring seamless coordination of meetings, travel arrangements, personal commitments, and select charitable engagements.
- Develop and organize materials for meetings and projects, including briefing documents and executive summaries.
- Stay several steps ahead by proactively identifying requirements, preparing background information, coordinating logistics, and ensuring all details are in place for successful execution.
- Provide on-site and administrative support for meetings, initiatives, and events, including note-taking, follow-up coordination, timeline management, and ownership of outstanding deliverables.
- Plan and execute high-touch events and experiences, managing all aspects from initial concept through completion, including vendor management, guest communications, budgeting, logistics, and post-event reporting.
- Act as a key point of coordination among internal stakeholders, outside consultants, creative partners, agencies, and service providers to keep projects moving efficiently and on schedule.
- Support a variety of business priorities, special projects, and executive initiatives, often handling sensitive or time-critical matters.
- Maintain accurate records, files, and documentation with a high level of confidentiality and attention to detail.
- Process expense reports.
- Assist with digital presence and all online initiatives.
- Handle personal tasks, including but not limited to gifting, charities, errands, etc.
- Serve as the primary contact for residential property matters
Required Qualifications:
- Bachelor's degree required.
- 5+ years of experience as an executive assistant experience, working with C-Suite
- Excellent computer skills
- Event planning experience
- Real estate or hospitality is a plus
