Executive Assistant to The CEO - Business Operations
We are seeking a highly capable Executive Assistant to support the founder/CEO across multiple operating businesses. The founder oversees multiple operating businesses including aircraft charter/management and pharmaceutical manufacturing and distribution, and this role provides hands-on support across that platform. This is a hands-on role for someone who enjoys variety, takes initiative, and can contribute beyond traditional administrative support. Some days will be focused on executive and personal support. Other days will lean into business execution, systems coordination, vendor follow-up, and urgent cross-company priorities.
This is not a traditional corporate C-suite executive assistant role. It is best suited for someone who values contribution over title and is comfortable working in an entrepreneurial environment. Key Responsibilities:- Provide day-to-day executive and administrative support to the CEO across multiple businesses.
- Assist with both professional and personal tasks, including scheduling, coordinating travel, and arranging services as needed.
- Independently manage workflows within Amazon Supplier Central (direct prior hands-on experience required).
- Coordinate with team members at all levels, including leadership and warehouse teams.
- Maintain continuity and productivity when the CEO is out of the office.
- At times, take direction from the CFO or other senior leadership.
- Remain flexible when higher-priority projects require immediate attention.
Systems & Vendor Coordination:
- Work comfortably with business software and operational tools.
- Participate in evaluating and implementing new systems, particularly related to inventory visibility and allocation.
- Assist in screening vendors, comparing solutions, and preparing recommendations.
- Serve as a bridge between leadership, operations, and technology during system transitions.
Required Experience:
- Experience supporting business execution, inventory workflows, vendor coordination, or executive-level support.
- Strong software aptitude and comfort working in evolving systems environments.
