Summary

Under the direction of the Chief Legal Officer, the Paralegal provides high-level administrative and operational support to the Legal Department. This role supports Legal and Risk Management workflows by coordinating department processes, managing documentation and records, processing invoices, supporting Board-related tasks, and assisting with ethics training tracking and reporting. The position requires strong judgment, discretion, and the ability to manage multiple priorities and deadlines in a fast-paced environment.

The compensation for this position is $66,500.00 annually, paid on a bi-weekly basis.

Essential Functions :

  • Provide administrative support to the SVP, Chief Legal Officer and Legal Department, including calendar management, meeting coordination, travel (as needed), and general office administration.
  • Assist with processing Legal Department invoices end-to-end (intake, coding/approvals, submission, tracking, and vendor follow-up) and maintain organized records to support budget management.
  • Support Board governance administration, including coordinating meeting logistics, managing invitations and attendance tracking, preparing meeting materials, and supporting minutes, surveys, and action item follow-up.
  • Track and report annual ethics training completion (COELIG) for applicable staff, maintain completion records, and prepare periodic reporting for internal leadership and external submissions.
  • Support contract administration activities, including maintaining contract files, coordinating signature workflows, tracking key dates, and preparing standard forms and correspondence using approved templates.
  • Maintain department trackers and dashboards (e.g., contracts, COIs/endorsements, claims, training, Board tasks) and ensure accurate, timely updates.
  • Provide administrative support for insurance and claims-related workflows, including maintaining trackers, organizing incident/claims documentation, and coordinating routing of materials to internal stakeholders, brokers, TPAs, counsel, and/or carriers as directed.
  • Assist with compiling and reviewing Certificates of Insurance.
  • Assist with document management and records retention, including filing, version control, and ensuring sensitive information is handled with appropriate confidentiality.
  • Assist in the implementation and ongoing maintenance of contracts management software solution and online document repository.
  • Draft and proofread routine correspondence and compile materials for internal and external stakeholders.
  • Evaluate, research and respond to Freedom of Information Law (“FOIL”) requests on behalf of the Javits Center FOIL Officer.
  • Provide interdepartmental communications as necessary.

Required Qualifications :

  • Bachelor’s degree, or equivalent relevant experience.
  • 3+ years of experience in a legal, compliance, risk, finance, or corporate governance function and/or supporting executives .
  • Strong organizational skills with the ability to prioritize, manage deadlines, and maintain accurate records.
  • Experience processing invoices and working with purchasing/accounting systems preferred.
  • Strong written and verbal communication skills; ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort working with CLM systems, trackers and reporting dashboards.
  • Ability to communicate clearly and efficiently verbally and in writing.
