Executive Assistant to the CEO
- Inbox + Calendar Management
- Manage a high-volume inbox with exceptional attention to detail, prioritizing critical client and business development communications.
- Ensure the CEO is kept informed of important emails and follow-ups.
- Thoughtfully manage a very busy calendar, balancing travel, meetings, and necessary breaks.
- Business Development Support
- Track client communications, follow up on contracts, and assist with pipeline management.
- Prepare the CEO for meetings with relevant materials and insights.
- Lead internal sessions focused on tracking business opportunities and pitches.
- Client Interaction & Coordination
- Oversee client meeting logistics, including confirmations, preparation, and follow-up materials.
- Record and summarize client calls, highlighting key takeaways and next steps.
- Liaise with internal teams and external partners to ensure smooth execution of deliverables.
- Operations & Administrative Excellence
- Collaborate closely with the Director of Operations and broader team.
- Support in contract management and coordination with media/PR partners.
- Maintain organized systems for client folders, communications, and reports. Required Qualifications:
- Prior experience supporting a CEO or C-Suite executive is required.
- Ability to work with urgency and precision; strong follow-through is essential.
- Thick-skinned with high emotional intelligence—comfortable handling feedback.
- Exceptional organizational skills with the ability to anticipate needs.
- Advanced proficiency in Microsoft Office Suite; familiarity with Airtable and Constant Contact is a plus (training provided).
- Must be based in the Tri-State area and able to attend occasional in-person meetings.
- Remote work discipline—must be fully focused from a home office environment without distractions.
