Facilities Dispatcher
Due to continued company expansion, we are seeking an organized, responsive, and customer-focused Facilities Maintenance Dispatcher to join our growing Facilities Management team. This important position serves as the central point of communication between our stores, maintenance technicians, service providers, and management team, helping ensure equipment and facility-related concerns are addressed promptly and efficiently.
The ideal candidate is a proactive problem-solver who thrives in a busy environment, can confidently manage competing priorities, and understands the importance of accurate communication and follow-through. Familiarity with the basic operation and mechanics of commercial kitchen and retail equipment is essential.
Work schedule: Tuesday through Saturday, with availability to provide backup phone coverage on Sundays as needed.
Responsibilities
- Receive, review, prioritize, and coordinate service requests for equipment maintenance, facility repairs, and non-routine custodial support.
- Serve as a primary point of contact for store teams reporting maintenance and equipment concerns.
- Dispatch maintenance technicians, drivers, service workers, and outside vendors to appropriate store locations.
- Communicate assignments and updates by telephone, two-way radio, email, or applicable work-order systems.
- Evaluate service requests and schedule work based on urgency, safety concerns, store needs, and operational impact.
- Monitor open work orders from initial request through completion, providing timely follow-up when needed.
- Maintain accurate and detailed records of service requests, technician assignments, work performed, and final resolutions.
- Receive check-in calls and status updates from service technicians by telephone or in person.
- Communicate delays, changes, and service updates to store management and other appropriate team members.
- Requisition tools, parts, equipment, and supplies for maintenance and facilities team members as needed.
- Help identify recurring equipment or maintenance concerns and communicate trends to management.
- Provide administrative and operational support to the Facilities Management team and Director of New Stores.
- Report workplace accidents and injuries promptly to the appropriate management team.
- Comply with all company safety, risk-management, and reporting policies and procedures.
- Participate in required safety meetings, training programs, and hazard assessments.
- Attend designated classroom and virtual training programs.
- Perform other duties and special projects as assigned.
Qualifications
- High school diploma or equivalent required.
- Minimum of one year of experience working with dispatch operations, facilities maintenance, or work-order management systems.
- Basic understanding of commercial kitchen equipment, retail equipment, and general facility maintenance.
- Strong customer-service mindset with the ability to communicate professionally and calmly with store teams, technicians, vendors, and management.
- Ability to assess multiple requests, establish priorities, and coordinate resources in a fast-paced environment.
- Strong analytical, organizational, and problem-solving skills.
- Exceptional attention to detail, recordkeeping, and follow-through.
- Excellent verbal communication, active-listening, and interpersonal skills.
- Ability to work independently with minimal supervision while also contributing to a collaborative team environment.
- Comfortable learning new equipment terminology, systems, and maintenance processes.
- Proficient with technology and Microsoft Office Suite.
- Dependable and flexible, with the ability to work Saturdays and provide backup telephone coverage on Sundays as needed.
- Commitment to maintaining professional, clean, and organized work areas.
- Willingness to learn, take on additional responsibilities, and grow with the position as the company continues to expand.

Working Conditions and Physical Requirements
- This position may require frequent movement on hard surfaces and throughout active retail or facilities environments.
- May require bending, climbing, crawling, handling, pulling, reaching, stooping, or positioning oneself to examine equipment and facility concerns.
- Must be able to lift and carry objects weighing up to 30 pounds.
- May occasionally be required to lift or move heavy or awkward objects weighing more than 30 pounds with assistance.
- Work is generally performed in a comfortable indoor environment but may occasionally take place around moving machinery or loud equipment.
- May be exposed to temperature variations associated with freezers, ovens, coolers, and commercial kitchen equipment.
- May occasionally be exposed to cleaning products, sharp objects, tools, or industrial equipment required to perform job-related duties.
