Program Manager
About Afya:
Afya is a unique medical supply recovery organization that collects surplus medical supplies from healthcare centers in the United States and ships these critical materials to the most medically under-resourced parts of the world. Afya responds to natural disasters, conflict zones and pandemics, utilizing a regional network of medical suppliers and volunteers to meet immediate humanitarian needs. In addition, Afya supports long-term programs to address chronic health disparities in low resource settings, while promoting environmentally efficient healthcare practices by reducing the amount of unused medical supplies in the U.S.
Position Summary:
The Program Manager will play a key role in supporting Afya’s international programs by assisting the Chief Program Officer in implementing health system strengthening initiatives and disaster response efforts. In this collaborative role, the Program Manager will help maintain strong partner relationships, coordinate shipments, and contribute to program monitoring, evaluation, and reporting. The Program Manager will also prepare grants and reports and provide valuable support on special projects within the department, including preparation of strategy documents and standard operating procedures. Key responsibilities will include grant proposal preparation and reporting, gathering research data for proposals/reports, and ensuring timely and accurate submissions. The ideal candidate will bring experience in program management or international development and possess strong organizational and communication skills to effectively support Afya’s mission.
Key Responsibilities:
Program Management:
- Assist in the management and implementation of Afya’s health system strengthening and disaster response programs.
- Coordinate recurring shipments, including vetting partners, assessing inquiries, and confirming delivery.
- Collaborate with the Operations team to ensure that shipments align with available stock and meet partner needs.
Partner Relationship Administration:
- Serve as a point of contact for international partners other organizations, addressing inquiries and providing support.
- Nurture and maintain strong relationships with existing partners, introducing Afya’s mission to potential new partners.
- Collect and analyze data from partners on the impact of medical supplies delivered, through phone interviews, surveys, and other tools.
- Ensure requests from partners are reviewed, fulfilled, and followed up on, while documenting feedback for continuous program improvement.
Data & Reporting:
- Create and manage tools such as partner checklists and internal documents for tracking shipment details, partner vetting, and program outcomes.
- Develop and administer monitoring and evaluation tools (e.g., surveys) to assess the impact of shipments on recipients.
- Prepare donor reports and track project milestones.
Grant Writing & Management
- Maintain grant pipeline database and perform research on program funders as required
- Track grant deliverables
- Draft grant proposals to support program initiatives and donor reports
Operational Support:
- Collaborate with the Operations team to ensure that partner requests are aligned with available resources.
- Schedule and facilitate meetings with partners, to discuss shipment contents and logistics.
- Ensure proper documentation is maintained throughout the shipment process, from vetting to delivery confirmation.
Special Projects & Program Support:
- Provide support for special projects that advance Afya’s international programs, including organizing and coordinating virtual meetings, webinars, and workshops.
- Help plan and facilitate program-related activities, working closely with team members to improve processes for greater efficiency and accuracy.
Qualifications:
- Bachelor’s degree in International Development, Public Health, or a related field; Master’s degree a plus
- 2-5 years of work experience in program coordination/management or a related role, ideally within nonprofit, healthcare, or disaster relief settings.
- Strong organizational skills with the ability to manage multiple projects, prioritize tasks, and meet deadlines.
- Excellent communication skills, both written and verbal, with attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and SharePoint.
- Experience developing monitoring and evaluation tools is a plus.
- Ability to work independently in a fast-paced, multicultural environment.
- Entrepreneurial spirit with a growth mindset and collegial nature.
- Experience and/or expertise in the Caribbean or sub-Saharan Africa preferred.
- Knowledge of Power BI and Raiser’s Edge a plus.
Job Type: Full-Time, Hybrid
Salary: $70,000-$76,000
