TITLE: ADMINISTRATIVE/OPERATIONAL SUPPORT SPECIALIST
LOCATION: EAST SYRACUSE, NY (ONSITE DAILY)
DURATION: 6+ MONTH CONTRACT TO HIRE
JOB SUMMARY:
Maintain a high-level of operational and sales support through consistent and timely response to inquiries, order processing, cash application, document management, sample billing, price book maintenance, tasting processing, vendor chargebacks, POS Inventory management, and timely project completion.
RESPONSIBILITIES:
- Customer Support and Order Placement: Respond to inquiries via the phone, email and fax machine. Process orders same day. Respond to product questions, inventory checks, pricing, shipping and billing information, and any additional questions or issues.
- Sales Support : Process orders received by phone, email, or fax, research problems, alert sales personnel of any pertinent customer issues or complaints, and address additional questions or concerns. Be responsive to time constraints as sales people are often on-site with customers.
- Warehouse Support : Respond to requests for information from drivers and other warehouse personnel in a timely manner.
- Check Processing : Checks and cash must be processed on a daily basis. Problem checks will need to be researched or submitted to the Credit Department for review and processing. Deposit must be scanned or taken to the bank daily.
- Vendor Support: Process all billing; products, samples, services, and sample charge backs. Respond to requests for information.
- Document Management : Scan all invoices into the DIP program and scan dirty invoices requiring credit processing to the Credit folder. Locate hardcopies of unscanned invoices on request.
- Project Support : There are a variety of office projects requiring daily, weekly, or monthly attention as assigned by management. May be assigned to multiple projects.
- Product and System Knowledge : Must stay current on all products and computer systems, including, but not limited to: MainOL, OnRequest Reports, Diver, and Microsoft Office Products.
REQUIREMENTS:
- Basic computer knowledge, MS Office Suite
- Ability to lift 30lbs.
- Walking – daily trips to warehouse and other departments
- Reaching and handling of POS materials
