About the Role:

We are seeking a Workplace Operations & Experience Manager to lead our HQ operations and champion a world-class employee experience. This role is at the intersection of people, operations, and culture – responsible for creating a holistic office experience that aligns with our values, supports hybrid work, and enables high performance. This role is essential to keeping our office operations running smoothly while also supporting employee engagement and team-building initiatives. The ideal candidate brings a blend of operational excellence, hospitality-level service standards, and a deep understanding of what makes workplaces thrive.

You'll also have a strong voice in shaping how we show up in the office, encouraging shared responsibility, respect for our space, and speaking up when something isn't aligned with our values . You're someone who can kindly but confidently remind the team that our culture is a shared effort.

Key Responsibilities:

  • Oversee all aspects of office management, including ordering supplies, managing food and product deliveries, overseeing mail and package deliveries, maintaining common areas, and liaising with vendors and building management
  • Define and drive the vision for our physical workplace experience, ensuring it is welcoming, inclusive, and community-centered
  • Support the People Team with workplace strategy to support company growth, employee engagement, and hybrid workforce dynamics
  • Serve as the go-to for all things facilities, ensuring everything works and everyone feels at home
  • Keep our space stocked with Vita Coco products, snacks, and supplies, ensuring the overall office environment is inviting and well cared for
  • Encourage care and cleanliness by modeling respectful use of the space, empowering others to do the same
  • Design and implement programs that enhance employee well-being, collaboration, and inclusion
  • Lead planning and execution of on-site events, all-hands meetings, leadership offsites, and culture-focused initiatives
  • Serve as a key liaison between leadership, facilities, service providers, IT, People and employees to align office initiatives with business goals
  • Monitor and manage office budgets, invoices, and petty cash as needed
  • Support leadership and People Team with special projects and tasks as assigned

Reception:

  • Embody our brand to greet every visitor who arrives at the HQ office in a friendly, helpful and enthusiastic manner
  • Maintain a polished, brand-aligned reception area that showcases who we are, ensuring Vita Coco product is properly displayed and readily available for guests

Culture & Engagement

  • Bring our company values to life through office rituals, surprise-and-delight moments, and celebrations that reflect and reinforce our sense of community
  • Plan and execute engaging team events: think wellness activities, birthday shoutouts, holiday parties, and team lunches
  • Partner with the People Team to support onboarding and cultural touchpoints for new hires
  • Be a pulse-checker, noticing and proactively responding to team needs, morale, and dynamics
  • Proactively foster an environment where people feel ownership of the space and accountable to one another

Qualifications:

  • Proficient in Microsoft Office and working knowledge of Windows based computer programs required, specifically Outlook
  • 4-5 years of experience in a workplace experience, operations, or hospitality role and experience planning office events or employee engagement activities
  • Proven success in managing office operations and culture initiatives in fast-paced environments
  • Strong leadership and project management skills, with a strategic mindset
  • Excellent communication, collaboration, and stakeholder management abilities
  • Must have the ability to work a flexible schedule and work from NYC HQ at least four days a week
  • Able to lift 15-30 pounds
  • Must be a champion of the brand, someone who embodies Vita Coco's Company values

At The Vita Coco Company, compensation decisions are dependent upon a variety of factors, which may include, but are not limited to: skill set, experience, education, training, licensure and certifications, knowledge and abilities of the applicant, alignment with market data, and other business and organizational needs. A reasonable estimate of the current pay range for this position is $70,000-80,000. This range may vary for positions that will be performed outside of California, Colorado, Nevada, New York City, Westchester County, NY, Rhode Island, or Washington.
