The Carlyle, A Rosewood Hotel is currently recruiting for an Accounts Receivable Clerk. The ideal candidate will be responsible for accurate and timely billing of all city ledger accounts.
Responsibilities
- Respond to guest inquiries, disputes, and requests in a timely, friendly manner to deliver outstanding guest service.
- Prepare proforma invoice and setup billing instructions for groups; collect payments after departure.
- Prepare invoices and process payments for sales and catering functions; attach all itemized receipts to the invoice.
- Checks and verifies supporting documents are attached to the guest bill.
- Coordinates with Front Office Manager and other outlet Managers and invoices all transactions in the city ledger.
- Generate monthly billing statements and invoices for HCOC and extended stay guests.
- Review and post all adjustments and paid outs.
- Maximizes speed of collection while maintaining good relations with the clients and ensure adherence to the company credit policy.
- Participates in the monthly credit meeting.
- Display good teamwork attitude and maintain positive working relationships with others.
- Ensures compliance to all relevant policies and procedures.
- Checks daily transfers to the city ledger from Property Management System.
- Audits banquet event orders carefully and resolve discrepancies.
- Posts daily payment transactions received in the bank statement (wire transfer and check).
- Organize and maintain all files and records in accordance with document retention and confidentiality policies and procedures.
- Assists the General Cashier in handling travel agent commission processing and inquiries, including reconciliation of third-party booking sites and voice agent commissions.
- Compares and controls vendor invoices and credit notes with all related documents (purchase order/request, delivery notes and receiving reports).
- Assist Accounts Payable Clerk and Director of Purchasing with maintaining a log for contracts, permits and licences.
- Assists in reviewing financial terms and payment obligations with hotel suppliers.
- Participates in special projects, team training and development.
- Carries out other duties that may be delegated by the Accounting Manager, Senior Accounting Manager, Asst. Director of Finance, Dir. of Finance, or Managing Director.

- Maintain complete knowledge of and comply with all departmental policies, service procedures and standards.
- Interact in courteous and professional manner with all guests, staff and community members.
- Perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure.
- Models the company’s culture, vision, mission and core values at all times.
Qualifications
- Minimum education is high school equivalency, with some Hotel/College training preferred.
- Minimum 2 years of experience in a similar capacity for a luxury or ultra-luxury property.
- The Accounts Receivable Clerk is expected to be on duty during normal accepted working hours and whenever presence is required. An adaptation of working hours may be required to produce the statements or tasks within the prescribed deadlines.
- Must be very detail oriented and have strong organizational skills. Must have skills in database, spreadsheet or other accounting applications.
- Be a clear thinker, remaining calm and resolving problems using good judgement
- Required to speak, read and write English, with fluency in other languages preferred
- Must be able to exert physical effort in transporting 25 pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding
