SpaLaLa Administrative Coordinator / Party Planning Assistant

SpaLaLa is looking for a highly organized, detail-oriented, and friendly Administrative Coordinator to help support our growing kids spa and party business.

This role is perfect for someone who loves organization, communicating with customers, managing details, and helping create memorable experiences for families.

What You’ll Do

  • Answer phones professionally and warmly
  • Speak with parents and customers about bookings, parties, and services
  • Coordinate party details and help ensure events run smoothly
  • Configure and manage emails, confirmations, invoices, and customer communication
  • Assist with scheduling parties and calendar management
  • Keep customer records and administrative systems organized
  • Follow up with leads, inquiries, and existing customers
  • Help maintain a polished and positive customer experience
  • Support management with administrative and operational tasks

  • Has exceptional attention to detail
  • Is pleasant, professional, and confident on the phone
  • Communicates clearly in both speaking and writing
  • Is tech-savvy and comfortable with email systems and scheduling platforms
  • Can multitask and stay organized in a fast-paced environment
  • Has strong customer service skills
  • Enjoys working in a positive, team-oriented environment
  • Loves helping create magical experiences for kids and families

Bonus If You Have:

  • Experience in hospitality, events, salons, spas, or party planning
  • Administrative or office management experience
  • Experience with booking systems, CRM platforms, or invoicing software
  • Social media or marketing experience

Position Details

  • Part-time or Full-time available
  • Weekend availability preferred
  • Located in New York City
  • Competitive pay based on experience
