Job Description:
The Operations Specialist will support the day-to-day efficiency of the Operations department by coordinating workflows, monitoring projects, analyzing performance data, and partnering with internal teams to ensure priorities are completed accurately and on time. Reporting directly to senior Operations leadership, this role will serve as a key liaison between departments while helping identify opportunities to improve processes and overall operational performance.
Key Responsibilities:
- Track work orders from initiation through completion using internal financial and customer relationship management systems.
- Collaborate with Billing and Accounts Receivable teams to ensure work is accurately documented, completed, and properly captured for invoicing.
- Work closely with department managers to monitor project timelines, follow up on outstanding items, and address obstacles that could impact deadlines.
- Review operational metrics and identify inefficiencies, recurring issues, and workflow gaps.
- Develop and implement recommendations designed to improve productivity, service quality, and cost efficiency.
- Coordinate operational programs in partnership with Accounting, Risk Management, and other internal stakeholders.
- Provide direct administrative and operational support to senior Operations leadership.
- Act as a central resource for cross-functional requests, compliance tracking, follow-ups, and department priorities.
- Maintain accurate records, reports, and project documentation to support effective decision-making.
- Assist with special projects and process improvement initiatives as needed.
Qualifications:
- Bachelor's degree required.
- 3-5 years of experience in operations, project management, program coordination, or a similar role.
- Bilingual Spanish/English strongly preferred.
- Experience in a service-oriented industry such as facilities services, hospitality, healthcare, property management, logistics, or a related field preferred.
- Background in project coordination, process improvement, workflow management, or program administration.
- Proficiency with Microsoft Office, particularly Excel; intermediate Excel skills preferred.
- Strong organizational and time management abilities with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently, take initiative, and manage competing priorities.
- Strong analytical and problem-solving skills with a proactive approach to identifying solutions.
