Executive Assistant to Finance Principal
The Executive Assistant will support a results-driven executive within a global financial service firm. This role requires an EA who thrives in a fast-moving environment and can fluidly transition between critical executive support and hands-on tasks that keep the day running smoothly. The ideal professional has deep experience supporting C-suite leaders in fintech or high-growth technology settings, demonstrates polished communication and operational excellence, and brings a humble, service-oriented approach, whether arranging multi-leg international travel or assisting with micro-daily tasks. If you go above and beyond and are energized by purpose-driven work, this opportunity may be an exciting match.
Key Responsibilities:
- Provide high-level business support by managing complex, shifting calendars; coordinating detailed domestic and international travel; and acting as a trusted liaison for the Executive.
- Schedule and coordinate meetings, appointments, and cross-functional gatherings with precision and exceptional follow-through.
- Assist in planning special events, managing RSVPs and logistics to ensure seamless execution.
- Serve as a confident gatekeeper and point of contact for internal teams, external partners, investors, and vendors, ensuring information flows accurately and discreetly.
- Conduct research and prepare polished business documents, presentations, reports, spreadsheets, and executive summaries, including financial or product-related materials. Take clear meeting notes and drive follow-up actions.
- Manage expense reports, reconciliation, and budget-related tracking with accuracy and urgency.
- Maintain an exceptionally organized workspace, both digital and physical including contact databases, operational documents, and key records.
- Support day-to-day operational needs with humility, professionalism, and a “no task too small” mindset including preparing meeting materials, printing/binding documents, or assisting with light personal or office requests that keep the executive’s day running smoothly.
Why You’ll Love Working Here:
- Generous compensation and benefits package.
- Compassionate, driven, and intellectually curious team and leadership.
- An office environment that is unwavering in core values.
What We’re Looking For:
- EA Experience. You have at least 5-7 years of experience supporting an Executive in financial technology, sales or technology environment. Candidates with C-suite experience will stand out!
- Discretionary. You are trusted with sensitive information, confidential initiatives, and high-level internal and external relationships.
- Operational agility. You manage competing priorities with ease and can pivot quickly as executive needs evolve.
- Humble & service oriented. You bring a grounded, team-first approach, equally comfortable handling high-profile executive responsibilities and hands-on tasks with grace.
- Expert travel planner. You excel at coordinating complex, multi-city international itineraries and anticipating the needs of senior leaders.
- Nimble team player. You collaborate well across departments, stay composed under pressure, and continuously find ways to support the broader mission.
