Exhibitions Production Coordinator
Canyon is a nonprofit arts venue opening in 2026 on the Lower East Side of NYC, dedicated to the exhibition of time-based media art and performance.
Position Overview
The Exhibitions Production Coordinator reports directly to Canyon's Exhibitions Producer. This position joins a small team of arts professionals and will be an integral part of the organization's development as it prepares for a Fall 2026 opening.
The Production Coordinator (PC) will be part of the Exhibitions Team, a small and hands-on team. The PC coordinates shipping logistics, art loan documentation, insurance, condition reporting, and the storage and care of artworks presented at Canyon, working closely with the Exhibitions Producer, artists, their studios, lenders, galleries, shippers, and technical partners.
Key Responsibilities
- Coordinate incoming and outgoing artwork loans for exhibitions and programs
- Prepare and manage loan agreements, loan forms, and related documentation
- Coordinate domestic and international shipping of artworks, including scheduling, packing, crating, and courier arrangements
- Serve as the primary point of contact with fine art shippers, lenders, and artist studios regarding artwork logistics
- Maintain accurate records related to artwork movement, loan status, and exhibition schedules
- Oversee condition reporting during artwork receipt, installation, and deinstallation
- Coordinate with the Exhibition Producer and AV Technicians on installation timelines and artwork handling procedures
- Assist with the planning and coordination of exhibition installation and deinstallation
- Ensure that artworks are handled, installed, and stored in accordance with professional museum standards
- Track and maintain artwork documentation including installation instructions, technical riders, and exhibition requirements
- Assist in coordinating artwork insurance documentation and valuation information
- Maintain organized digital and physical records related to exhibitions and artwork logistics
- Support the documentation of exhibitions including installation photography and media asset tracking
- Work professionally with artists, galleries, lenders, and external vendors
- Support the Exhibitions and Events Team during installations, openings, and special events
Required Qualifications
- Minimum of 3 years of experience working as a registrar or in a similar collections or exhibition logistics role within a museum, gallery, or arts organization
- Experience working with time-based media art, installation-based work, or performance documentation
- Familiarity with digital asset management and media file organization
- Experience coordinating artwork shipping, loan agreements, and exhibition logistics
- Strong understanding of museum-standard artwork handling and condition reporting practices
- Excellent organizational and documentation skills with strong attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple projects and deadlines simultaneously
- Comfortable working collaboratively in a small, hands-on team environment
- Ability to safely handle artworks and assist with installation activities
- Calm and solutions-oriented under time-sensitive installation schedules
- Respectful of artist intent and exhibition environments
Desired Skills and Qualifications
- Experience coordinating international loans and customs documentation
- Knowledge of artwork packing and crating standards
- Experience negotiating pricing and terms with art shipping vendors and couriers
- Understanding of exhibition production workflows
- Familiarity with conservation documentation or media art preservation practices
Salary & Benefits
Salary is commensurate with experience. The expected range is $65,000 - $80,000.
This is a full-time salaried position. Benefits include medical, dental, and vision insurance; life, AD&D, long-term disability, and short-term disability insurance; a Health Savings Account or Flexible Spending Account; a 401(k) retirement account with a matching contribution; and tuition reimbursement.
