Central Scheduling Representative
Arnot Health is seeking a customer-focused and detail-oriented Central Scheduling Representative to join our Central Scheduling team. In this vital front-line role, you'll be responsible for coordinating patient appointments efficiently and accurately across various departments. Your ability to communicate clearly, prioritize tasks, and support patients with compassion will help ensure smooth and seamless access to care.
Schedule
- Full-Time, 40 hours per week
- Monday through Friday, Day Shift
- 6 Paid Holidays
Key Responsibilities
Answer incoming calls and assist patients, providers, and clinical staff with scheduling appointments, providing excellent customer service at all times.
Schedule diagnostic, therapeutic, and consultative services in accordance with department protocols, ensuring proper documentation and verification.
Verify and update patient demographics and insurance information during scheduling.
Collaborate with clinical departments to optimize appointment availability and minimize patient wait times.
Provide patients with necessary preparation instructions and confirm appointment details.
Utilize scheduling software and electronic health record (EHR) systems accurately and efficiently.
Handle inquiries regarding appointment changes, cancellations, and rescheduling.
Demonstrate understanding of medical terminology and insurance pre-authorization processes.
Maintain patient confidentiality and follow HIPAA regulations at all times.
What We're Looking For
Education & Experience:
High school diploma or equivalent required.
- 1 year of experience with medical terminology required
- 1 year of customer service experience required
Previous experience in healthcare scheduling, call centers, or administrative roles preferred.
Familiarity with EHR systems is a plus, specifically EPIC.
Skills & Qualities:
Strong customer service and interpersonal communication skills.
Excellent organizational and multitasking abilities.
Attention to detail and ability to work in a fast-paced environment.
Proficient in basic computer applications, including Microsoft Office.
Ability to handle sensitive situations with professionalism and empathy.
