Position Overview
Are you a detail-oriented planner with a passion for equity, community, and impact? IOOV is seeking a dynamic, creative, and results-driven Events & Community Engagement Manager to lead the planning and execution of our signature events—including BIPOC Pride , the Biennial LGBTQ+ POC Health Conference , and the Jazz in July Fundraising Gala .
This is more than an event planning role—it’s an opportunity to work directly with IOOV’s leadership to design powerful, mission-driven experiences that uplift LGBTQ+ communities of color, raise awareness, and build lasting community impact throughout New York’s Capital Region.
Key Responsibilities
Event Planning & Management
Lead the planning, execution, and evaluation of all major IOOV events
Manage event logistics including budgeting, venue booking, run-of-show creation, contracts, permits, and vendor coordination
Serve as the main point of contact for caterers, entertainers, decorators, AV providers, and other external partners
Sponsorship & Donor Engagement
Collaborate with executive leadership to secure sponsorships, donations, and in-kind contributions
Build and maintain strong relationships with donors, corporate sponsors, foundations, and vendors
Assist with sponsorship materials, donor communications, and post-event acknowledgments
Creative Production
Conceptualize and implement culturally relevant, engaging, and inclusive event experiences
Oversee the design and production of event layouts, signage, programs, branded merchandise, and promotional materials
Ensure every event reflects IOOV’s mission, values, and vision
Team & Volunteer Coordination
Coordinate and supervise event volunteers and temporary staff
Assign roles, provide training, and support a collaborative and efficient event atmosphere
Manage preparation of materials such as name tags, signage, registration lists, and swag bags
Administrative & Operational Support
Maintain the organizational event calendar and coordinate venue visits and walkthroughs
Track and maintain accurate records of attendees, sponsors, vendors, and event expenses
Support donor database entry and reporting as part of IOOV’s fundraising strategy
Customer Service & Public Representation
Deliver exceptional customer service to event attendees, partners, and community members
Represent IOOV with professionalism, warmth, and cultural humility at all public events
Qualifications
Education
Bachelor’s degree preferred, or equivalent experience in event planning, community engagement, or nonprofit operations
Experience
Minimum of 2 years of event coordination experience, preferably within a nonprofit or community-focused organization
Proven ability to manage large-scale events (100+ attendees) and work with multiple stakeholders
Skills & Attributes
Strong written, verbal, and interpersonal communication skills
Excellent time-management, organizational, and problem-solving abilities
High attention to detail and ability to work under pressure with flexibility and grace
Proficiency in Microsoft Office Suite; Adobe Creative Suite (Illustrator, Photoshop, Publisher) a plus
Familiarity with donor management systems, CRMs, or event software (e.g., Eventbrite, Cvent) is preferred
Willingness to work evenings and weekends as needed
